Job Description

As Senior Groups, Meetings & Events Coordinator, you will play a pivotal role in managing all aspects of group bookings, meetings, and events — ensuring a seamless experience from the initial enquiry through to final billing.

Reporting directly to the Sales Manager, you will act as the key liaison between the sales, operations, and finance teams, ensuring that every event is not only executed flawlessly but also accurately billed and closed in line with brand and audit standards.

This is a hands-on, operationally facing role, ideal for someone who enjoys being the point of contact for clients — from site inspections and pre-event briefings to post-event evaluations and billing reconciliation.

Key Responsibilities

Client & Event Management

  • Act as the main point of contact for all groups, meetings, and event enquiries, ensuring a professional and responsive approach.
  • Manage the full event cycle — from enquiry and proposal through to final invoice and client feedback.
  • Conduct site visits, client meetings, and pre-event briefings to ensure every detail is understood and delivered.
  • Work closely with the F&B, Sales, Front Office, and Operations teams to ensure events run seamlessly and exceed guest expectations.

Operational Engagement

  • Be actively involved in the day-to-day operations of events — supporting with floor presence, communication of client needs, and ensuring accurate execution of BEOs.
  • Liaise with the operational team before, during, and after events to guarantee smooth delivery and swift problem resolution.
  • Attend weekly operational briefings to communicate key event details and guest requirements.

Qualifications

  • Minimum 2–3 years’ experience in meetings, events, or groups coordination, preferably within a branded hotel environment.
  • Strong organisational and communication skills, with confidence in liaising across multiple departments.
  • Operationally minded — you thrive on seeing events delivered perfectly from start to finish.
  • Excellent attention to detail and numerical accuracy, particularly around contracts and billing.
  • Confident user of Opera, CVENT, Venue Directory or similar systems.
  • Positive, team-oriented mindset with a passion for delivering memorable guest experiences.
