Job Description

What you'll be doing

We are currently seeking an organised and enthusiastic Conference & Events Coordinator to support the Conference & Events Sales team at Hotel Chadstone Melbourne MGallery. This part-time position will work 10:00am to 3:30pm - Monday to Friday.

This is a unique opportunity to join a passionate and collaborative team and develop your skills and knowledge in the field of Conference & Events. It is an entry-level role ideally suited to a candidate who has studied Events Management (or similar) and has some experience of the hotel industry.

Tasks and responsibilities include:

  • Proactively liaise with clients to gather all details relating to their confirmed event
  • Prepare detailed event order within Delphi (Event Management System), ensuring all relevant event information is clearly compiled
  • Preparation and follow-up of conference proposals in conjunction with the Conference & Event Sales Manager
  • Complete organisation of conference activity / events from confirmation to post-event follow-up in order to ensure client satisfaction.
  • Assist with revenue postings, payment charges and invoicing for each event, working closely with client to ensure full prepayment of all events.

Qualifications

What you need to be successful

  • Excellent customer service skills, with the ability to easily build rapport with internal and external clients
  • A ‘quick thinker’ with excellent problem solving skills  A great team player, who proactively looks to assist where possible
  • Organised with a high attention to detail and the ability to coordinate a number of events simultaneously
  • Previous experience in sales environment, with good understanding of events/hospitality operations
  • Proficiency in the use of Microsoft Word, Excel, PowerPoint and Outlook
