Job Description

Scope of Position:

To effectively manage the procurement department, ensuring the acquisition of the right merchandise at the right time and the best available price, whilst adhering to company procedures.

Key Responsibilities:

  • Liaise with various departments (F&B, Housekeeping, Engineering, etc.) to meet their procurement needs and ensure timely supply of merchandise.
  • Process and track procurement requisitions, orders, and contracts, prioritising based on urgency and lead time.
  • Ensure conformity to quality standards and specifications whilst obtaining goods at competitive prices.
  • Maintain proper planning and control systems, including filing of procurement orders, lead time demarcation, and delivery tracking.
  • Prepare and manage supplier contracts, including terms, signatures, and expiry dates.
  • Monitor store inventories and capital item orders to prevent overstocking and ensure timely delivery.
  • Keep abreast of market situations and procurement best practices.
  • Collaborate with the accounts department for timely document clearing and payment processing.
  • Provide exceptional guest service, addressing any issues promptly and empathetically.
  • Adhere to company policies, safety procedures, and departmental guidelines.
  • Develop and implement cost-saving strategies to optimise procurement processes and reduce expenses.
  • Conduct regular supplier evaluations and performance reviews to ensure quality and reliability of goods and services.
  • Negotiate favourable terms with suppliers, including pricing, delivery schedules, and payment terms.
  • Manage and mitigate supply chain risks by developing contingency plans and alternative sourcing strategies.
  • Collaborate with the sustainability team to incorporate environmentally friendly and socially responsible procurement practices.

 


Qualifications

  • Minimum one year management experience in a procurement department
  • 3 years' experience in a hotel procurement department
  • Bachelor's degree in Finance/Accounts/Supply Chain Management preferred
  • Excellent oral and written communication skills
  • Collaborate effectively with other hotel employees and managers to ensure teamwork
  • Able to resolve conflicts with guests, supervisors, and employees
  • Ability to multitask and work well under pressure
  • Basic computer skills in MS Office, knowledge and experience in SAGE 300
  • Proficiency in procurement software and inventory management systems
  • Strong analytical and negotiation skills
  • Knowledge of supply chain management principles and best practices
  • Familiarity with hospitality industry standards and regulations
  • Demonstrated ability to develop and implement cost-saving strategies
  • Experience in vendor management and contract negotiations
  • Strong ethical standards and commitment to responsible procurement practices
