The Fairmont Chicago, Millennium Park is seeking a polished, proactive, and highly organized Executive Administrative Assistant to provide high-level support the General Manager of the Fairmont Chicago, Millennium Park. This role is critical in ensuring the smooth operation of the executive office, managing a wide range of administrative and strategic tasks with discretion, efficiency, and a commitment to excellence.

As the face and voice of the Executive Office, the ideal candidate will be a trusted professional who thrives in a fast-paced luxury hospitality environment and is passionate about delivering exceptional service both internally and externally.

 


Job Description

What you will be doing:

Reporting to the General Manager, responsibilities and essential job functions include but are not limited to the following:

  • Provide comprehensive administrative support to the General Manager, including calendar management, correspondence, meeting preparation, and travel coordination, as required
  • Draft, edit, and manage correspondence, reports, presentations, and other documentation on behalf of the General Manager
  • Serve as a liaison between the Executive Office and internal departments, ownership groups, corporate offices, and external stakeholders
  • Coordinate and attend meetings, including Executive Committee meetings, taking accurate minutes and following up on action items
  • Manage confidential and sensitive information with the utmost discretion and professionalism
  • Manage special projects and assignments as directed by the General Manager
  • Assist in the planning and execution of VIP visits, colleague engagement events, and special projects
  • Maintain an organized and efficient office environment, anticipating the needs of the General Manager and proactively addressing them
  • Support the broader Executive Committee with administrative tasks, as required
  • Organize and maintain files, records, and documents in an efficient and secure manner
  • Distribute incoming mail daily to intended recipient
  • Uphold the highest standards of discretion, hospitality, and professionalism in all interactions
  • Assist in the Hotel Operation as needed
  • All other duties, as assigned

Qualifications

Your experience and skills include:

  • Previous 3-5 years’ experience in a luxury hotel or high-end corporate environment
  • Hospitality/Hotel degree preferred
  • Schedule flexibility which will include some weekends, holidays and evenings
  • Excellent interpersonal and communication skills
  • Ability to prioritize work in an environment with multiple interests
  • Ability to handle complex and confidential information with discretion
  • Competency using a variety of computer software
  • Previous experience in and administrative role
  • Computer literate in Microsoft Windows applications required
  • Proven ability to build and maintain good relationships with all stakeholders

Additional Information

Compensation: Subject to experience and qualification, hourly rate of pay will range from $28.00 - $33.00 per hour.

Visa Requirements: Successful candidates must be legally eligible to work in the United States.
