What you will be doing:

Reporting to the Director of Finance & Business Support and the Assistant Director of Finance & Business Support, responsibilities and essential job functions include but are not limited to the following:           

  • Consistently offers professional, engaging and friendly service 
  • Must be willing to work a flexible schedule in order to accomplish all major responsibilities and tasks. 
  • Must be willing to accept assignments on as need basis, in order to promote teamwork 
  • Must have a commitment to follow all local and corporate policies and procedures as they relate to this position. 
  • Bi-weekly payroll processing and collecting all supporting documentation according to Focus Audit company guidelines outlined.
  • Generate and provide accurate reports which will include the Daily Labor Report, and completing Month End closing reports and processes.
  • Maintain complete confidentiality with all payroll dealings
  • Assist and prepare group, wedding, catering and embassy/diplomat billing
  • Assist with guest requests with folios, credit card transactions and billing queries
  • Liaise with Reservations, Sales, Catering and Banquets team as and when needed
  • Assist in processing advance deposits for groups and catering programs based on deposit schedule
  • Consistent follow up with clients and group contacts for payment of group and catering invoices
  • Go through deposit ledger for any refunds on cancelled reservation when required
  • Support the Assistant Director of Finance with month-end task or other requests when required
  • All other reasonable duties as assigned

Physical aspects of the position include but are not limited to:

  • Endure various physical movements throughout the work areas
  • Reach 1-2 feet
  • Remain in stationary position (sitting) throughout work shift
  • Walking, bending, pushing, pulling, kneeling, use of ramps and stairs
  • Seated computer work, including constant keyboarding and mousing
  • Occasional lifting up to 25lbs

Qualifications

Qualifications:

Your experience and skills include:

  • Familiarity with hotel operating systems and software
  • Excellent administrative, interpersonal, organizational, written and verbal communication skills.
  • Highly organized and able to prioritize and meet deadlines in a fast-paced environment
  • Computer literacy a must, with a strong knowledge of Word, Excel, Outlook, PowerPoint.
  • A professional appearance and presentation along with excellent interpersonal and communication skills and an ability to build and maintain positive working relationships with all staff and external contacts
  • Experience in a similar capacity is preferred
  • Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes
  • Excellent organizational skills and attention to detail
  • Strong analytical and problem-solving skills
  • Strong supervisory and leadership skills
  • Proficient with Microsoft Office Suite or related software
  • Proficient with payroll software
