Job Description

Rate of Pay: $25.00-26.50 per hour

RESPONSIBILITIES

  • Ensure prompt and courteous service is extended to both internal and external clients
  • Assist in qualifying leads, researching space, and entering bookings in Opera Sales and Catering and responding to client(s) either personally, or by directing to the appropriate salesperson(s)
  • Preparation of contracts and proposals
  • Preparation and processing of group definite contract turnovers
  • Record and track leads for responses and due dates
  • Assist Sales Managers in conducting site inspections of the Hotel
  • Maintain/order current printed sales and promotional collaterals and office supplies
  • Coordinate with other departments within the hotel to ensure distribution of important information
  • Prepare and disseminate regular sales department reporting on daily, weekly, and monthly basis Attend all sales meetings
  • Provide administrative duties as required by Sales Managers and Director of Group Sales
  • Regular Sales Office phone coverage
  • Assist with preparation and follow-up of sales trips including expense reporting
  • Prepare purchase orders and process invoices, including third party group commissions
  • Assist with duties of Sales Managers when they are absent from the office
  • Facilitate travel planning and manage expense reports
  • Manage schedule of meetings, corporate visits, reservations etc.
  • Combining weekly reports for submission
  • Maintain an organized work environment
  • Other duties as assigned

Qualifications

  • Minimum High School Diploma, Business School and/or Hotel School Diploma preferred
  • Proficiency in Microsoft Office applications required
  • Previous hospitality or travel industry experience (internal or external) an asset
  • Proven competency in the area of organization and communication skills
  • Ability to work without direct supervision
  • Pleasant out-going personality/good interpersonal skills

Visa Requirements: Must be legally eligible to work in the United States. The hotel is unable to assist candidates in obtaining U.S. work authorization.
