- Make and submit an accrual list of Rooms every month. Ensure that what the department purchase or what kind of service the department receive in every month.
- Make and submit an accrual list of parking fee every month Compile the list of parking usage for BQ, restaurants, Purovel and stay, and accrue the payment of parking every month.
- Make a Rooms forecast data for next month, and ensure what expense and revenue will be made in next month.
- Make sure what expense was made in a previous month, and inspect why we spend much or why we spend less than last time for next forecast and saving.
- Carry out a translation and interpreting duties immediately upon request.
- Join a meeting with Director of Rooms or other heartists who need interpreter, and interpret to support.
- Make a minute of all meeting in both Japanese and English.
- Proceed a contract/ agreement which is related to Rooms with relevant documents in both Japanese and English.
- Check and attendance management system of each heartist, and manage whether it is used and input data correctly.
- Check overtime result of each heartist, and give advice to control overtime in case of any overtime existing.
- Aware of submission deadline of each document, and inform or give notice to all Rooms heartists.
- Inform a training information, and ask to join each training.
- Issue Givex card upon a purchase request.
- Issue an accommodation voucher upon request.
- Is aware of and abides by hotel policies, procedures & relevant legislations.
- Projects positive image to all people and maintains a professional appearance and behavior. Ensures all directions are followed out at the request of any level of Senior Management. Maintaining positive relationships with Guests and Colleagues by meeting and exceeding their expectations through heartist approach.
- Answer all calls within three rings, using the Accor greeting standards.
Ensures that team member's working areas are kept cleaned and tidied up at all the times to guarantee our colleagues are handling tasks efficiently in an organized working station.

- 次月の部屋の予測データを作成し、来月に発生する予定の費用や収益を確認します。
- 前月の費用がどうだったかを確認し、前回より多く支出した理由や少なく支出した理由を調査して、次回の予測と節約に役立てます。
- 依頼があれば、即座に翻訳および通訳業務を行います。
- 部屋のディレクターや通訳が必要な他のハーティストとの会議に参加し、通訳を行ってサポートします。
- 会議の議事録を日本語と英語で作成します。
- 部屋に関する契約/合意書を関連書類とともに、日本語と英語で進行します。
- 各ハーティストの出勤管理システムを確認し、データが正しく入力されているかを管理します。
- 各ハーティストの残業結果を確認し、残業が発生している場合は、残業管理についてアドバイスを行います。
- 各書類の提出期限を把握し、全ての部屋のハーティストに通知または知らせを行います。
- 研修情報を伝え、各研修に参加するようお願いをします。
- 購入リクエストに基づき、Givexカードを発行します。
- リクエストに応じて宿泊券を発行します。
- ホテルの方針、手順、および関連する法規制を遵守し、認識しています。
- ポジティブなイメージを全ての人々に伝え、プロフェッショナルな外見と行動を維持します。すべての指示は、上級管理職の要求に従って実行されます。
- ゲストや同僚との良好な関係を維持し、ハーティストのアプローチを通じて期待を上回る成果を提供します。
- すべての電話は3コール以内で応答し、アコーホテルズの挨拶基準に従います。
- チームメンバーの作業エリアが常に清潔で整頓されていることを確保し、効率的に業務を行えるような整然とした作業環境を維持します。
- Previous secretary work or administrative work experience is required of at least 2 years.
- Strong bilingual skill both Japanese (Native level) and English (More than business level)
- Computer literacy (MS-Excel, Word, Outlook, Power Point).
- Business support to the Director of Rooms, and schedule management.
- Rooms department business support.
- Experience in the hotel back office is preferred.
- Cheerful, energetic, dynamic and self-motivated.
- Have strong social skills for building easily interpersonal relationships with the colleagues.
