Company Description

We are looking for a Payroll Coordinator to join our hotels team.  The role will be responsible for the preparation and coordination of our monthly payrolls working closely with our Payroll Manager, Finance Managers and People Team across our four London Hoxton’s.

Reporting to the Assistant Operations Finance Director with a dotted line to the Head of People & Culture, this newly created position will partner closely with the rest of the People, Finance, Operations and Fourth teams to ensure accurate payroll processing across London.


Job Description

What you'll do...

  • Ensuring all company processes and procedures are followed in line with payroll bureau deadlines.
  • Checking all new starters and leavers information has pulled through correctly and all absences are recorded correctly on Fourth
  • Ensuring Hotels have submitted and actualised rotas in Fourth by the payroll deadline
  • Processing any additional payments – Including but not limited to Incentives, TRONC
  • Liaise with Fourth regarding AOE payments
  • Responding to all payroll queries from Hotel teams and Fourth and escalating where necessary
  • Conducting monthly admin on our benefit program with both fourth and supplier, updating on starters and leavers
  • Collating PSA information and updating files for the Finance Manager.
  • Assisting external auditors with requests for information
  • Ensuring proper use and maintenance of payroll systems
  • Preparing and submiting any payroll amendments to Fourth
  • Ensuring hotels send net payroll figures and final approval to Fourth
  • Submission of monthly P32 records
  • Running monthly payslip clinic with teams
  • Liaise with people team on a regular basis for all new starters, leavers, benefits information
  • Maintaining an accurate archive filing system for payroll records

Qualifications

What we're looking for...

  • A confident communicator, who can ‘translate’ financial information to non-finance people in writing and in person
  • Passionate about all things payroll and experience working within a payroll/finance function
  • Nothing escapes your attention even when working across multiple things at once and can prioritise when required
  • Comfortable interacting with lots of different people whether that’s our own teams or external partners
  • Proficiency in Microsoft Excel, Fourth Hospitality and Financial System
  • Understanding of the inner running’s of a hotel or hospitality industry preferable, but not necessary
