Job Description

 

  • Requests, receives, checks, stocks, stores, and issues housekeeping materials, cleaning supplies, guest amenities, linen, tools, equipment, and other related items.

  • Utilizes the hotel’s computerized purchasing and inventory control system to record and monitor all stock movements.

  • Verifies received materials against purchase orders, delivery notes, or packing lists; counts quantities and inspects items for damage, defects, expiry dates, and quality.

  • Reviews and verifies supplier information and required documentation in coordination with the Purchasing Department.

  • Investigates discrepancies in purchase orders, deliveries, quantities, damaged items, and duplicate orders and reports findings to the concerned department.

  • Selects appropriate storage areas and properly stores housekeeping materials, supplies, chemicals, linen, amenities, tools, and equipment in designated storage locations.

  • Issues housekeeping materials, supplies, chemicals, tools, linen, and equipment against approved requisitions and maintains proper records of all issued items.

  • Enters, updates, and retrieves inventory data from the computerized inventory control system and maintains accurate stock records.

  • Monitors material consumption and stock levels and assists in establishing minimum, maximum, and reorder levels to ensure continuous availability of required items.

  • Assists in reconciling housekeeping requisitions, material usage, and physical stock quantities with inventory records and reports any discrepancies.

  • Performs weekly cycle counts, quarterly inventory, mid-year inventory, year-end inventory, and physical inventory and assists in preparing the required inventory reports.

  • Ensures proper stock rotation using FIFO/FEFO principles where applicable and monitors items with expiry dates.

  • Ensures that housekeeping chemicals are properly labeled, stored, handled, issued, and used safely in accordance with hotel procedures and applicable regulations.

  • Maintains cleanliness, organization, and proper storage conditions in all assigned store areas and ensures that materials are protected from damage, contamination, and unnecessary loss.

  • Monitors stock levels and informs the Housekeeping Supervisor/Manager and Purchasing Department of items requiring replenishment.

  • Promotes the economical use of housekeeping materials and minimizes unnecessary consumption of paper, chemicals, packaging materials, and other consumables.

  • Supports the hotel’s environmental and sustainability initiatives by reducing waste, promoting proper waste segregation, recycling where applicable, and minimizing environmental impact.

  • Follows departmental instructions and participates in training related to environmental awareness, energy conservation, waste reduction, chemical safety, and efficient use of resources.

  • Ensures that chemicals are safely transported, stored, handled, and used in accordance with approved procedures and applicable safety and environmental requirements.

  • Reports chemical spills, leaks, damaged containers, unsafe storage conditions, or other environmental and safety hazards to the concerned supervisor*


Qualifications

 

  • Education: High school diploma or equivalent qualification; a diploma or certificate in hospitality, housekeeping, stores, logistics, or a related field is preferred.

  • Experience: At least 2 years of relevant work experience in hotel stores, housekeeping stores, inventory, warehouse, or a related position.

  • Foreign Language: At least intermediate level English; ability to communicate effectively in English is preferred.

  • Computer Literacy: Basic to intermediate knowledge of MS Office applications, particularly Microsoft Excel, and experience using computerized inventory or hotel management systems.

  • Special Qualifications: Knowledge of hotel housekeeping supplies, cleaning materials, chemicals, linen, guest amenities, stock control, storage procedures, and inventory management.

  • Technical Knowledge: Knowledge of proper storage, handling, issuing, and stock rotation procedures, including FIFO/FEFO principles where applicable.

  • Safety & Environmental Awareness: Knowledge of safe handling and storage of cleaning chemicals and awareness of hotel health, safety, environmental, and waste management procedures.

  • Organizational Skills: Ability to maintain accurate inventory records, organize storage areas, conduct stock counts, and identify and report discrepancies.

  • Communication Skills: Ability to communicate effectively with the Housekeeping Department, Purchasing Department, Receiving, Finance, and other concerned departments.

  • Other Requirements: Ability to perform multiple related activities, coordinate with different departments, follow established procedures, and carry out duties efficiently under the direction of the Housekeeping Manager, Store Supervisor, or Hotel Management.
