Job Description

\This position is responsible for managing group reservations within the hotel. The individual will oversee all related workload for groups to ensure the successful delivery of services. This includes the timely and accurate entry of all rooming lists and emails as communicated by Sales and Catering and clients.

  • Serve as the primary point of contact for groups initiated through Sales and Event Services
  • Ensure the utmost accuracy of all reservation-related details for assigned groups
  • Manage the flow of reservations for assigned groups in a timely and efficient manner
  • Diligently monitor and maintain blocks in Property Manager, CRS, Opera Sales and Catering, and Passkey systems at all times
  • Create Passkey events and links with precision, and process rooming lists through Passkey with attention to detail
  • Meticulously communicate group-related details for GRC through CRS Notes
  • Collaborate effectively with the Credit department for final reports, including earned comps, deposits, commissions, and credits for groups
  • Attend and actively participate in pre-conference meetings, resume review meetings, group review meetings, departmental meetings, and client-related meetings as required
  • Contribute as a dedicated and effective team member of the Reservations department
  • Perform additional duties as assigned

Qualifications

  • Previous customer related experience required
  • Previous Opera reservations experience preferred
  • Familiarity with Microsoft Office applications and web-based software
  • Strong typing skills – 40 WPM
  • Excellent communications, problem solving and interpersonal skills
  • Detail oriented, and extremely accurate in data entry skills
  • Highly responsible and reliable
  • Ability to work well under pressure in a fast paced environment
  • Ability to work cohesively as part of team
  • Ability to work independently with minimal supervision
  • Ability to focus attention on guest needs, remaining calm and courteous at all times

Physical Aspects of Position (included but not limited to):

  • Frequent sitting throughout shift
  • Occasional lifting and carrying up to 20 lbs
  • Occasional kneeling, pushing, pulling, lifting
  • Occasional ascending or descending ladders, stairs and ramps
  • Ability to focus attention on guest needs, remaining calm and courteous at all times
