Job Description

Key Responsibilities:

Reporting to the Director of Event Sales & Services and the Director of Revenue, responsibilities and essential job functions include but are not limited to the following:

  • Assist with reviewing all bookings at turnover to confirm accurate room type and event blocking in sales booking system, accurate reflection of commissions / rebates and ensure all meeting planner points are tracked
  • Provide administrative support to Event Sales & Services team in the planning and execution of daily, weekly, and monthly tasks and reports
  • Assist with Wedding and Social Event courtesy blocks, quote rates and assist with requests 
  • Set up and manage Passkey for all groups
  • Assist with creating proposals, processing contracts, responding to sales leads and function space inquiries
  • Assist with monitoring all group and tour blocks. Track cut off dates and enter rooming lists while ensuring accuracy
  • Update reservation changes, add billing instructions, comments and traces to all event and room reservations
  • Complete group pick up reports, audit reports, commission reports and requests

Qualifications

  • Previous customer related experience with a passion for hospitality required
  • Previous Front Desk, Event Coordinator, and/or Reservations experience preferred
  • Previous Property Manager System and Passkey experience preferred
  • Computer literate in Microsoft Window applications required, especially Excel
  • Must be able to type 25 words per minute
  • Strong organization and time management skills
  • Ability to problem solve with a high attention to detail
  • Excellent communication skills, both verbal and written
  • Ability to work well under pressure in a fast-paced environment, handling many tasks simultaneously
  • Ability to work independently and completed assigned tasks, as well as work cohesively as a part of a team
  • Ability to focus attention on guest needs, remaining calm and courteous at all times
  • Highly responsible and reliable
  • Must hold valid authorization to work in the USA
