Job Description

Position Overview

The Engineering Coordinator supports the Director of Engineering in the daily administrative, coordination, and operational activities of the Engineering Department. Acting as a key liaison between Engineering and other departments, this role ensures effective communication, smooth workflow, accurate documentation, and timely follow-up of engineering-related matters.

The position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced, luxury resort environment.

Key Responsibilities

Administrative & Coordination Support

  • Manage all incoming and outgoing correspondence of the Engineering Department.
  • Handle telephone calls, appointments, and scheduling on behalf of the Director of Engineering.
  • Prepare, organize, and manage the Director of Engineering’s daily agenda, meetings, trainings, and briefings.
  • Take minutes of meetings and distribute them accurately and promptly.
  • Prepare letters, memos, reports, and departmental documentation as required.
  • Maintain proper filing systems and ensure all records are up to date and well organized.

Operational & Technical Coordination

  • Coordinate work orders, requests, and inquiries between Engineering and other departments.
  • Follow up on assignments, maintenance requests, and ongoing tasks, reporting daily updates to the Director of Engineering.
  • Assist Engineering operations when required to ensure continuity of service.
  • Support planning and continuous improvement initiatives within the Engineering Department.

Procurement & Vendor Coordination

  • Prepare store requisitions and assist with procurement documentation.
  • Obtain quotations from suppliers and contractors, prepare summaries, and submit recommendations for approval.
  • Prepare purchase orders as required and follow up on deliveries.
  • Ensure invoices and contractor payments are processed and tracked accordingly.

Records, Compliance & Reporting

  • Maintain and update Engineering records including:
    • Equipment IN/OUT logs
    • Preventive maintenance schedules
    • Maintenance contracts and service reports
    • Maintenance and complaint logbooks
    • Fire incident reports and safety checklists
    • Utility and equipment reading sheets
  • Enter weekly and monthly work schedules into the system accurately.
  • Arrange and monitor monthly servicing schedules for equipment and facilities.

Training & Development Support

  • Assist in organizing and coordinating in-house training programs for the Engineering Department.
  • Support documentation and tracking of technical and safety training activities.

Compliance & Standards

  • Ensure adherence to all Rixos Policies & Procedures and Engineering Operational Standards.
  • Comply fully with ISO Integrated Management Systems including:
    • Quality (ISO 9001)
    • Environmental Management (ISO 14001)
    • Food Safety (ISO 22000)
    • Customer Complaint Handling (ISO 10002)
    • Health, Safety & Risk Management
  • Actively support sustainability initiatives including energy efficiency, water conservation, and environmental protection.
  • Maintain confidentiality of all departmental and company information.

Qualifications

  • Education: University degree in any discipline.
  • Experience: Minimum 2 years in a similar administrative or coordination role, preferably within hospitality or facilities management.
  • Skills & Competencies:
    • Strong organizational, coordination, and multitasking skills
    • Excellent written and verbal communication
    • Proficient computer skills (MS Office and reporting tools)
    • Ability to work independently and collaboratively in a team environment
