We are now looking for an enthusiastic and organised Events & Groups Coordinator to join our close-knit team in a part-time capacity of approximately 20 hours per week.


Job Description

Reporting to the Food & Beverage Manager, you will play an important role in coordinating conferences, events and group bookings from initial enquiry through to delivery.

This is a varied role for someone who enjoys building relationships, keeping the details organised and seeing an event come together successfully.

Your responsibilities will include:

  • Responding proactively to event, conference and group enquiries received via phone, email, website and walk-in clients
  • Building strong relationships with new, prospective and returning clients
  • Preparing accurate and professional event, conference and group proposals and contracts
  • Liaising with organisers to understand event requirements, special requests and operational needs
  • Preparing event orders, floor plans and other documentation required for seamless event delivery
  • Working closely with hotel departments to ensure event and group requirements are clearly communicated and delivered
  • Assisting with accommodation inventory, group bookings and rooming lists
  • Coordinating site inspections and familiarisation visits for prospective and existing clients
  • Assisting with event room presentation, set-up, pack-down and event delivery when required
  • Preparing and coordinating deposits, final invoices and other event account requirements
  • Providing professional front-of-house support to clients and guests during events and functions
  • Participating in weekly event and operational briefing meetings
  • Supporting event content and marketing initiatives in line with brand standards

This is an opportunity to take ownership of the guest and client journey while working closely with a supportive hotel team.


Qualifications

We would love to hear from you if you have:

  • 1–2 years’ experience within conferences, events, groups or a similar hospitality environment
  • Experience with reactive and/or proactive sales
  • A genuine passion for creating memorable events and guest experiences
  • Excellent written and verbal communication skills
  • Strong organisation skills and attention to detail
  • Confidence building relationships with clients and working collaboratively with operational teams
  • The ability to manage multiple enquiries, deadlines and priorities
  • A proactive, flexible and solutions-focused approach
  • Unlimited working rights in Australia
  • Flexibility to work varied hours when required, including occasional early mornings, evenings, weekends and public holidays

Previous hotel experience would be highly regarded.
