Job Description

The Spa Operations Supervisor as guided by the Director of Spa will establish and maintain the standards of Spa etiquette and service in all interactions with guests and staff.  Responsible for overseeing daily aspects of all Spa service areas including customer service, scheduling and yield management for all arriving and in-house guests.  Will aid in meeting minimum revenue goals and cost of supplies for the Spa department.

Responsibilities and essential job functions include but are not limited to the following:

  • Consistently offer professional, engaging and friendly service
  • Supervise the day-to-day operations of the Spa and fitness center with a focus on all service and operational logistics, with detailed knowledge in all aspects of spa reception, retail, spa therapy, treatments, and spa facilities.
  • Maintain current knowledge of all spa services, pricings, offerings, schedules, specials and other services provided at the spa.
  • Assist in providing support to Spa colleagues, including scheduling, training, providing constructive feedback, and recognition.
  • Assist the Spa Director in resolving guest challenges with effective solutions, while being mindful of delivering consistent service.
  • Interact and communicate effectively with guests, colleagues, and management team.
  • Look for every opportunity to suggest new and enhanced guest experiences and to encourage positive staff behavior.
  • Responsible for communicating housekeeping and maintenance needs
  • Maintain all brand and quality luxury service standards.
  • Maintain consistency in accordance to Forbes/LQA and Fairmont standards.
  • Assist in conducting audits and self-audits of standards.
  • Answer Phones and make reservations
  • Facilitate BEO coordination and scheduling of spa event space, classes, activities in collaboration with spa team and sales team.
  • Provide an exceptional experience to all guests, promptly handling any guest comments, complaints, or concerns with discretion and urgency.
  • Ensure that sufficient staffing is present to meet daily business demands.
  • Approach all encounters with guests, colleagues and members in a professional and personalized manner while leading and coaching the team to do the same.
  • Ensure a safe working environment is maintained at all times and that all colleagues are committed to working safely.
  • Ensure confidentiality of all guest sensitive information at all times.
  • Assist with talent selection
  • Ensure the necessary resources, functional tools and equipment including linen is readily available through the wellness facilities.
  • Assess guest feedback and celebrate successes.
  • Follow departmental policies, procedures and service standards
  • Follow all safety policies
  • Responsible for the support of linen and product inventory, and control procedures, quality control, site inspections, and future development according to the Spa Standard Operating Procedures.
  • Assist with all areas of the spa facility, administrative duties, training, and meetings.
  • Comply with hotel security, fire, health and safety regulations.
  • Communicate staffing changes to employees
  • Filing and compiling spa payroll reports – including treatment provider reports for review by Spa Director
  • Update phone and email lists
  • Order office supplies
  • Organize spa office, desk, and bulletin board
  • Follow all cashiering procedures
  • Assist in ensuring accurate time keeping of staff punches
  • Run reports through Spa booking software to support business needs
  • Review all Group Resumes and BEOs, and attend pre-con meetings in lieu of the Spa Director.
  • Provide administrative support for daily tasks and projects
  • Other duties as assigned

Qualifications

  • Experience working in the spa industry required
  • Previous experience in luxury environment preferred
  • Previous supervisory experience a great asset
  • Must have a professional image and personality exuding confidence and leadership skills while encouraging safe and efficient hotel operations.
  • Computer literacy a must, with a strong knowledge of Microsoft Office applications, Outlook, Excel, and Spa operations systems, namely Book4time.
  • Positive attitude
  • Excellent communication skills
  • Committed to delivering a high level of customer service
  • Flexibility to respond to a range of different work situations
  • Ability to work on your own or in teams
  • Strong guest service orientation and training skills background required
  • Strong administration and organizational skills are required
  • Results oriented with the ability to adapt to the challenges of a continually evolving workforce, while remaining flexible and working under pressure
  • Self-confident, proactive, and able to prioritize and make effective decisions
  • Ability to work flexible shifts including mornings, evenings, weekends, and holidays
