Job Description

Summary of Responsibilities:

Reporting to the Regional Director, Leisure Sales, you will be responsible for administrative duties for our five hotels in the Pacific Northwest region, including Fairmont Hotel Vancouver, Fairmont Waterfront, Fairmont Pacific Rim, Fairmont Vancouver Airport, and Fairmont Empress. Responsibilities and essential job functions include but are not limited to the following:

 

  • Consistently offers professional, prompt, and engaging service
  • Supporting administrative duties for the Account Director, Regional Tour & Travel Sales and Regional Director, Leisure Sales, which includes:
    • Assist in preparation of Contract Rate Agreements for 5 hotels
    • Rate Loading & liaising with Global Distribution team, In-House Reservations, and Revenue Management teams
    • Organization and management of documents, contracts, internal communications and SOPs
    • Creation and management of Tour Season Manuals for each property
    • Collaborating with Food & Beverage teams regarding Tour Menus, Pricing and Operational requirements
    • Liaise with Catering Teams on internal planning for meeting space and food & beverage requirements
    • Assist with the organization of sites, events, entertainment, and FAMs
      • Manage RFPs from Tourism Partners
      • Coordinating logistics
      • Resumes
      • Set-up (if required)
      • Co-hosting (if required)
    • Proficient use of Property Management and Reservation Systems in order to effectively manage account maintenance, activity logging, block building, rate quoting, reservation queries, reviewing availability, and other functions as required
    • Use of Revenue Management System to effectively review Forecast and Demand Indicators
    • Liaise and nurture relationships with Revenue Management and Reservations teams on various tasks
    • Communicate with and assist clients while direct manager is out of office
    • Month End Reporting
    • Hotel Site Visits on behalf of Sales Directors – includes all properties
    • Some evenings and weekends may be required to conducts FAMs, site visits, or client entertainment
    • Assist with preparation and follow-up of sales trips and FAM visit
    • Providing clients with requested collateral and hotel information
    • Preparing daily welcome cards and amenities
    • Maintaining sound knowledge of Fairmont Waterfront, Fairmont Hotel Vancouver, Fairmont Pacific Rim, Fairmont Vancouver Airport and Fairmont Empress
  • Work alongside other Sales Coordinators to manage property specific administration tasks and support. At times, support other market segments for the region.
  • Assist with other projects and reporting as assigned
  • Multitasking and prioritizing numerous requests and tasks within outlined deadlines from Sales Directors
  • Follow departmental policies and procedures, and all safety policies
  • Support the goals, objectives and philosophies of Fairmont Waterfront, Fairmont Hotel Vancouver, Fairmont Pacific Rim, Fairmont Vancouver Airport and Fairmont Empress

Qualifications

Your experience and skills include:

  • Computer experience at intermediate to advanced level is mandatory with knowledge of Microsoft Suite including Outlook, Excel, Edge, Word, and PowerPoint
  • Knowledge of hotel services and facilities
  • Knowledge of Opera Sales & Catering, Property Manager, Reservations and IDeaS G3 an asset
  • Excellent verbal and written communication skills
  • Flexible to meet and exceed the expectations of both our internal and external guests
  • Previous sales experience in a hotel environment an asset
  • Must be a strong team player, professional and enthusiastic with excellent organizational skills, creativity and be a self-starter
  • Must have outstanding people skills and desire to develop presentation skills
  • Proven ability to multitask with a positive attitude in a sometimes demanding and challenging environment
  • Proven ability to independently prioritize job tasks and guest needs in the absence of the Sales Manager for extended periods of time

Visa Requirements: Must be legally eligible to work in Canada.  The hotel is unable to assist candidates in obtaining Canadian work authorization.
