Job Description

As Purchasing & Receiving Manager, you will oversee all procurement and receiving activities for the Chateau, ensuring goods and services are sourced responsibly, delivered on time, and uphold Fairmont’s renowned standards of quality and sustainability. You will lead a motivated team in managing complex logistics that support a multi-outlet luxury resort operation in a remote mountain location.

Summary of Responsibilities

Reporting to the Director of Finance & Business Support, responsibilities and essential job functions include but are not limited to the following:

Purchasing & Procurement

  • Manage and oversee all purchasing functions for the resort, ensuring compliance with Fairmont and Accor procurement standards.
  • Build and maintain strong relationships with approved vendors while developing local supplier partnerships that support the Banff community and sustainability goals.
  • Negotiate pricing, contracts, and delivery schedules to achieve cost-effective purchasing and operational efficiency.
  • Review and approve purchase requisitions, ensuring adherence to budget and business requirements.
  • Collaborate with department heads to forecast purchasing needs based on seasonal business levels and operational priorities.

Receiving & Logistics

  • Oversee receiving operations to ensure goods meet quality, quantity, and specification standards.
  • Coordinate deliveries to the resort’s remote location, maintaining efficiency and cost control.
  • Ensure all storerooms and receiving areas are clean, organized, and compliant with Fairmont health and safety standards.
  • Support Culinary, Stewarding, and Engineering teams in managing storage, rotation, and distribution of products.

Inventory Control

  • Implement and maintain effective inventory management systems for all storerooms and departments.
  • Conduct monthly and year-end physical inventories, reconciling with system reports and investigating variances.
  • Collaborate with the Finance team on month-end accruals, stock valuations, and reporting.

Financial & Administrative Responsibilities

  • Monitor purchasing metrics, supplier performance, and cost trends to support financial planning.
  • Maintain comprehensive records and documentation in accordance with audit and internal control standards.
  • Support the Director of Finance with reporting and analysis related to procurement and inventory performance.

Leadership & Colleague Development

  • Lead, coach, and develop a skilled Purchasing & Receiving team to deliver operational excellence.
  • Foster a positive and collaborative workplace that reflects the Fairmont service culture.
  • Conduct performance reviews, identify growth opportunities, and encourage continuous professional development.

Qualifications

  • Post-secondary education in Supply Chain Management, Business Administration, or related field required.
  • Minimum 5 years of purchasing or materials management experience, preferably in a luxury hotel or resort environment.
  • Experience managing logistics in a remote or mountain resort setting considered a strong asset.
  • Proficiency with procurement systems such as BirchStreet, and advanced Microsoft Excel skills.
  • Exceptional negotiation, communication, and organizational abilities.
  • Strong leadership presence with a proactive, hands-on management style.
  • Knowledge of HACCP, food safety, and relevant Alberta regulatory standards preferred.
