Guest Experience Agent

Role Purpose
The APSO Business Coordinator is responsible for the day-to-day operation, presentation, and client experience of APSO space located within The Johnson Hotel Spring Hill. This role ensures service delivery exceeds agreed Service Level Agreements, supports occupancy and retention targets, and delivers a professional, welcoming experience for all APSO clients, guests, and stakeholders.
Key Responsibilities
Client Experience & Front-of-House
- Greet APSO clients and guests professionally and manage reception enquiries
- Manage incoming mail and packages, ensuring accurate logging and timely notification
- Coordinate guest arrivals for serviced and virtual office clients
- Maintain presentation standards across reception, shared spaces, kitchens, and boardrooms
Sales Support & Inspections
- Conduct professional inspections of serviced offices, storage, and car parking facilities
- Communicate all walk-in enquiries to APSO Sales Consultants within required timeframes
- Provide detailed inspection summaries to support sales conversion
- Proactively cross-sell APSO products and services
New Client & Vacate Management
- Coordinate onboarding of new serviced office, virtual office, storage, and car park clients
- Prepare welcome packs, documentation, system setup, and client communications
- Complete vacate processes in line with APSO checklists and timelines
- Coordinate make-good works, cleaning, and styling of vacant offices
- Support monthly billing processes, debt collection, and aged trial balance reporting
- Code and submit invoices within required timeframes
- Assist with revenue forecasting, budget support, and quarterly reporting as required
- Raise and track maintenance issues within agreed response times
- Monitor cleaning standards
- Support serviced office renewals and month-to-month discussions
- Organise quarterly networking events in collaboration with APSO Management
- Liaise regularly with APSO Management, Accor leadership, and building management
- Participate in fortnightly and quarterly operational reviews
Skills & Experience
- Previous experience in serviced offices, hotel operations, corporate reception, or office management
- Strong customer service and relationship management skills
- High attention to detail and ability to manage multiple priorities
- Confident administration, reporting, and systems management capability
- Professional presentation and communication style
- Ability to work autonomously
