We're looking for a highly organised and people-focused Group Reservations Supervisor to join our friendly and supportive team at Novotel Melbourne South Wharf.
This is an exciting opportunity for someone who thrives in a busy environment, enjoys building strong client relationships, and loves leading a team to success. Working closely with the Portfolio Reservations Manager, you'll play a key role in managing group accommodation bookings while coaching and developing team members. Job Description
What you'll be doing
- Lead the day-to-day coordination of the Group Reservations function, ensuring a seamless experience for clients and guests.
- Manage accommodation-only group bookings of 10 rooms or more, from enquiry through to arrival.
- Prepare group quotations, contracts, rooming lists, payments and group movement information.
- Build and maintain strong relationships with clients, PCOs, travel partners and internal stakeholders.
- Support, coach and develop team members through ongoing training, guidance and performance feedback.
- Assist the Portfolio Reservations Manager with daily tasks and team supervision.
- Handle escalated guest and client enquiries professionally and efficiently.
- Monitor group inventory, forecasting and business trends to maximise hotel performance.
- Produce group reservation reports, forecasts and analysis to support business decisions.
- Work closely with Sales, Revenue, Front Office and other departments to ensure exceptional group delivery.
- Identify opportunities to improve processes, systems and team efficiency.

Qualifications
- Previous experience in a Reservations Supervisory role or similar leadership position within a hotel environment.
- Strong knowledge of group reservations and hotel operations.
- Experience using Opera PMS and Microsoft Office (preferred).
- Exceptional organisation skills with the ability to manage multiple priorities in a fast-paced environment.
- Proven ability to coach, mentor and motivate team members.
- Excellent communication, stakeholder management and relationship-building skills.
- A commercial mindset with strong attention to detail and problem-solving abilities.
- Ability to work independently while contributing positively to a collaborative team culture.
- Passion for delivering outstanding customer service and guest experiences.
