Job Description

At Fairmont Hotel Vancouver, our Engineering team works behind the scenes to ensure our iconic Castle in the City operates safely, efficiently, and at the standard our guests and colleagues expect.

As Engineering Coordinator, you’ll be at the center of the department’s day-to-day operations, supporting our Engineering leaders and skilled trades colleagues while serving as an important liaison with departments across the hotel.

From coordinating Demand and Preventative Maintenance Work Orders to payroll, purchasing, compliance documentation, contractors, room maintenance, and departmental administration, you’ll help keep priorities organized, information flowing, and work moving forward.

This role is ideal for someone who is highly organized, comfortable managing multiple priorities, and enjoys being the person who connects people, information, and processes in a busy operational environment.

What You Will Be Doing

As a key administrative and operational coordination point for the Engineering Department, you’ll work closely with Engineering leaders, skilled trades colleagues, hotel departments, contractors, and external service providers.  Your responsibilities will include:

  • Consistently provide professional, friendly, and proactive service to colleagues, guests, contractors, and internal partners
  • Serve as a key liaison between Engineering and other hotel departments, helping coordinate requests, priorities, planned work, and follow-up
  • Coordinate Demand and Preventative Maintenance Work Orders, ensuring requests are appropriately dispatched, tracked, followed up, and closed in a timely manner
  • Assist Engineering leaders with the prioritization and assignment of daily tasks to Engineers and Technicians
  • Maintain accurate preventative maintenance records, equipment information, service schedules, operational logs, and departmental tracking systems
  • Coordinate with the Rooms team through Opera PMS regarding guest-room maintenance, room status, access, and preventative maintenance, including placing and releasing rooms from hold as required
  • Complete daily timekeeping and support bi-weekly payroll for the Engineering Department, ensuring information is accurate and discrepancies are followed up promptly
  • Coordinate departmental purchasing administration, including purchase requests, purchase orders, invoices, receiving documentation, vendor information, and month-end requirements
  • Assist with departmental budget and expense tracking, Requests for Expenditure, and other financial administration
  • Monitor and coordinate departmental inventory, supplies, and replenishment requirements
  • Maintain organized electronic and physical records, reports, correspondence, contracts, certificates, invoices, equipment logs, and other departmental documentation
  • Track regulatory inspections, third-party equipment certifications, permits, testing, sampling, readings, and renewal dates, ensuring upcoming requirements or expiries are brought to the attention of Engineering leadership
  • Maintain contractor and vendor documentation and assist with coordinating site access, service visits, required documentation, and follow-up
  • Create and track access key and card requests for authorized colleagues and contractors and maintain accurate renewal and access records
  • Prepare reports, spreadsheets, presentations, meeting materials, correspondence, and other departmental documentation
  • Coordinate meetings, appointments, site visits, inspections, and departmental activities as required
  • Accompany Engineering leaders to meetings and site tours when required, record minutes, and follow up on action items
  • Serve as a reliable source of departmental information and help ensure communications, documents, requests, and follow-ups are distributed to the appropriate colleagues in a timely manner
  • Support departmental onboarding, training records, access requirements, and administrative coordination for new colleagues
  • Participate in hotel committees and initiatives related to Health & Safety, sustainability, emergency preparedness, and operational excellence, as assigned
  • Maintain confidentiality when handling colleague, payroll, financial, contractor, and hotel information
  • Follow hotel policies, Engineering procedures, health and safety requirements, and Fairmont standards
  • Promptly report hazards, incidents, damaged equipment, maintenance concerns, and other safety or security issues
  • Support Engineering leadership with special projects and other duties reasonably assigned within the scope of the position

Qualifications

What You Bring to the Role

We’re looking for an organized, dependable, and service-minded professional who enjoys keeping a busy operation moving and is comfortable working with colleagues across many different areas of the hotel.

  • Previous experience in an administrative or coordinator role; experience within Engineering, Facilities, Maintenance, Property Management, or Hotel Operations is preferred
  • Experience in a hotel, facilities, property management, or similarly complex operational environment is considered an asset
  • Strong administrative and organizational skills with excellent attention to detail
  • Strong computer skills, including proficiency with Microsoft Outlook, Word, Excel, and Teams
  • Experience with work-order, property-management, purchasing, payroll, or facilities-management systems considered an asset
  • Experience with Opera PMS, asset/work-order management systems, BirchStreet, Dayforce, or similar systems is an asset
  • Strong written and verbal English communication skills
  • Ability to organize and prioritize multiple requests, deadlines, and competing operational needs
  • Strong follow-through and ability to independently track outstanding items through completion
  • Comfortable working with payroll information, invoices, reports, spreadsheets, records, and other detailed documentation
  • Ability to handle complex, confidential, and sensitive information with professionalism and discretion
  • Strong interpersonal skills and demonstrated ability to build effective working relationships with colleagues, leaders, contractors, vendors, and other hotel departments
  • Sound judgment and ability to recognize when an operational issue requires escalation
  • Reliable, accountable, resourceful, and proactive in identifying what requires attention or follow-up
  • Knowledge of engineering, building systems, maintenance terminology, or regulatory compliance is an asset, but technical Engineering certification is not required
  • Demonstrated commitment to safe working practices, inclusion, and Fairmont service standards
  • Must be legally eligible to work in Canada. The Hotel is unable to assist candidates in obtaining Canadian work authorization

Physical & Operational Requirements

  • Regular use of computers and other office equipment for extended periods
  • Sitting for extended periods, with regular standing and walking throughout the hotel
  • Ability to access Engineering areas, mechanical spaces, guest floors, and other operational areas as required
  • Frequent bending, reaching, squatting, and movement associated with office and operational duties
  • Ability to safely lift, carry, push, or pull items up to 30 lbs. (14 kg) as reasonably required
  • Comfortable working in an active hotel environment and occasionally entering Engineering or mechanical areas where there may be noise, heat, dust, or other operational conditions
  • Ability to adjust priorities in response to urgent maintenance requirements and changing hotel business levels
