Job Description

Engineering Coordinator (Temporary 6-Month Contract)

Fairmont Hotel Vancouver is seeking a skilled and highly organized Engineering Coordinator to support our dynamic Engineering Department during the current Coordinator’s leave. This is a temporary 6-month contract, with the possibility of extension based on departmental needs. The ideal candidate will be detail-oriented, thrive in a fast-paced environment, excel at multitasking, and be able to work independently while supporting the team’s administrative and operational needs.

What you will be doing:

  • Serve as the liaison between the Engineering Department and other hotel departments, ensuring smooth communication and effective coordination
  • Prioritize and assign tasks to engineers and technicians, ensuring timely completion of projects
  • Manage the Royal Service Manager dashboard, ensuring tickets are dispatched and closed daily
  • Handle day-to-day administrative tasks such as typing, filing, scheduling, document distribution, and maintaining records
  • Complete daily and bi-weekly payroll processing for the Engineering Department, ensuring accuracy
  • Coordinate with the Rooms Team using Opera Property Management System for preventative maintenance and room management
  • Track and renew 3rd party equipment certifications and ensure all readings and sampling are current
  • Maintain and update access key and card requests for colleagues and contractors
  • Assist in preparing departmental reports, records, and requests for expenditures
  • Participate in Hotel Committees (e.g., Planet 21 Sustainability, Health & Safety) as needed
  • Attend meetings and site tours with the Engineering Management team, taking meeting minutes
  • Perform other duties and special projects as assigned by Engineering leadership team

Qualifications

To be successful in this role we ask that you have:

  • Previous experience in an administrative or coordinator role, preferably within engineering or a related field.
  • Service-focused mindset with strong administrative experience (preferred).
  • Proficiency in Microsoft Office and advanced computer skills to manage tasks efficiently.
  • Exceptional organizational and multitasking abilities, with a keen attention to detail.
  • Strong interpersonal and communication skills, with fluency in English (both written and verbal).
  • Ability to work independently and efficiently in a fast-paced environment while managing multiple priorities.
  • Ability to handle complex and confidential information with discretion and professionalism.
  • Proven track record of building strong relationships and collaborating seamlessly with team members and other departments.
  • Knowledge of safe working procedures and a commitment to upholding high safety and operational standards.

Physical Aspects of Position (include but are not limited to): 

  • Ability to stand and walk for extended periods.
  • Sitting for long durations and frequent lifting (up to 50 lbs).
  • Frequent bending, squatting, and reaching.
