Job Description

What you’ll do

We are looking for an experienced Conference Events Sales Executive to join our team at Novotel Barossa Valley Resort. This role is a part time, shared position.  Under the guidance of the Director of Sales & Marketing, you will be responsible for the below.

  • Respond proactively to sales opportunities to effectively manage leads.
  • Handle incoming event leads professionally through all channels e.g. phone, email, website
  • Monitor performance of Conference Vision (or its equivalent) in line with agreed targets
  • Monitor competitors within region and provide recommendations on changes to current sell strategies.
  • Provide detailed conference and events proposals covering venue, function, menu and accommodation costs ensuring revenue is maximised.
  • Coordinate and host familiarisation and site inspection activity including follow-up.
  • Drive sales to ensure conversion targets are achieved and monitor success on a monthly basis.
  • Assist in coordinating sales forecasts and provide suggestions on strategies to achieve targets.
  • Update and maintain accurate account profiles in the database systems e.g. Delphi.
  • Prepare and deliver event handover to Conference & Event Coordinators and ensure accuracy of information and effectively communicate handover to clients.
  • Ensure success in delivering customer events in order to ensure client satisfaction and repeat business.
  • Ensure Conference and Events team operates efficiently to minimise errors and exceed client expectations.
  • Maintain effective communication with the Conference & Events Manager providing market intelligence on a regular basis and understanding of competitor strengths weaknesses and ongoing sales activities.
  • Assist in developing sales strategies for the conference segment and implement and monitor effectiveness of same.
  • Develop and maintain a relationship with specific conference and incentive companies / PCO’s to ensure hotel secures new business.
  • Have a complete understanding of the Hotel’s sales vision, its products, services, and rate structure to fulfil business objectives.
  • Maintain existing customer base to ensure their business is retained by building and developing relationships.
  • Ensure penetration of existing accounts to establish greater awareness of hotel and group products/series to maximise sales opportunities.
  • Develop and implement a plan to follow up on prospective business.
  • Adhere to Hotel’s rate structure with variations approved by the Conference & Events Sales Manager
  • Use of the Sales Contact System (ASA) to accurately record call plan activities, contacts, rate structure and other pertinent client information.
  • Ensure sales correspondence administration is processed through support network within a 2 day working period with client / tender follow up occurring for relevant pieces of business.

Qualifications

What you will bring to the role:

  • Proven experience in conference and event planning,
  • Strong sales skills with a track record of driving inquiries and securing new business
  • Exceptional interpersonal and communication skills, with the ability to build and maintain client relationships
  • Detail-oriented with excellent organisational and time management abilities
  • Proficiency in event management software and tools
  • Demonstrated ability to work independently and as part of a collaborative team
  • Customer-focused mindset with a commitment to providing exceptional service
  • Flexibility to adapt to changing priorities and work under pressure
  • Goal-oriented with a drive to meet and exceed targets
  • Outstanding personal presentation and professional demeanor
  • Knowledge of hospitality industry trends and best practices
  • Strong budgeting and financial management skills
  • Bachelor's degree in Event Management, Hospitality, or a related field (preferred)
  • Willingness to work flexible hours.
