Job Description

The Regional Sales Coordinator supports one or more Regional Account Directors across the Fairmont Waterfront, Fairmont Hotel Vancouver, and Fairmont Pacific Rim. This role ensures the smooth and efficient operation of the sales office while providing high-level administrative and client service support.

What You Will Be Doing

  • Consistently deliver professional, engaging, and friendly service
  • Provide administrative support to the Regional Account Director and team members as required
  • Assist in coordinating and hosting FAMs, site inspections, client events, sales calls, and educational visits
  • Support the development and maintenance of client relationships
  • Respond to internal and external clients in a timely, professional manner via email, phone, and in person
  • Communicate with other hotel departments to ensure timely distribution of important information
  • Create and maintain accurate client accounts in Opera Sales & Catering
  • Assist with month-end reviews, production reports, and maintaining accurate sales activity logs
  • Support preparation of sales trips, including sales kits, gifts, and travel arrangements

  • Manage client requests when the Regional Account Director is out of office
  • Provide clients with requested collateral and hotel information
  • Prepare proposals, contracts, and addendums as required
  • Prepare daily welcome cards and amenities
  • Handle telephone inquiries efficiently and professionally in accordance with Fairmont standards
  • Maintain strong knowledge of Fairmont Hotel Vancouver, Fairmont Pacific Rim, and Fairmont Waterfront
  • Multitask and prioritize requests within deadlines set by the Regional Account Director
  • Perform other duties as assigned

Qualifications

What We Are Looking For

  • Intermediate to advanced computer skills, including Microsoft Word, Excel, PowerPoint, and Publisher
  • Knowledge of hotel services and facilities
  • Experience with Opera Sales & Catering, Reservations, and Property Manager is an asset
  • Excellent verbal and written communication skills
  • Flexible and able to meet and exceed guest expectations
  • Previous hotel sales experience is an asset
  • Strong team player who is professional, enthusiastic, organized, and self-starting
  • Strong interpersonal skills with a desire to develop presentation skills
  • Proven ability to multitask and maintain a positive attitude in a demanding environment
  • Proven ability to independently prioritize tasks and guest needs in the absence of the Sales Leader for extended periods

Physical Aspects of Position

  • Seated computer work, including constant use of keyboard and mouse
  • Occasional use of ladders, stairs, and ramps
  • Occasional standing, walking, kneeling, and bending

Must be legally eligible to work in Canada. The hotel is unable to assist candidates in obtaining Canadian work authorization.
