Job Description

At Fairmont Hotels & Resorts, all guest service has the potential to create a lasting memory when it is delivered with warmth and sincerity. Be an ambassador for our brand as an Event Sales and Services Coordinator, where the engaging and anticipative service you provide in-person and over the telephone will make our guests feel valued and reflect the exceptional hotel experience to come.

Summary of Responsibilities
Reporting to the Director of Event Sales & Services, your responsibilities will include, but are not limited to:

  • Provide administrative support to Event Sales & Services team in creating proposals, processing contracts and billing, responding to sales leads and function space inquiries

  • Field sales inquiries from prospective business via phone, email, sales booking sites

  • Plan and execute daily, weekly and monthly tasks and reports

  • Organize hotel site tours to showcase the Fairmont Olympic Hotel

  • Assist with Wedding and Social Event courtesy blocks, quote rates and assist with requests

  • Liaise closely with the Event Sales, Event Services and Sales Managers to ensure all information is collected in a timely manner, and ensure all information is correct for all events and conferences

  • Assist guests regarding hotel facilities in an informative and helpful way, maintaining knowledge of all hotel services and hours of operation

  • Track and record bookings accurately and efficiently

  • Assist with planning all internal event orders

  • Prioritize numerous projects and tasks daily, while working out of multiple inboxes

  • Develop creative attractive menu presentations for potential clients

  • Keep all supplies up to date and ordered

  • Consistently offer professional, friendly and engaging service

  • Respond to internal requests, email requests and telephone requests in a timely manner (within 24 hours)

  • Support and encourage effective working relationships within the team and supporting departments

  • Handle special projects in addition to daily tasks

  • Follow department policies, procedures and service standards

  • Follow all safety policies

  • Other duties as assigned


Qualifications

  • Experience: Prior customer service experience with a genuine passion for hospitality required. Experience as a Front Desk Agent, Event Coordinator, or in Reservations is preferred.
  • Technical Skills: Knowledge of Property Management Systems and Passkey preferred; proficiency in Microsoft Windows applications (especially Excel) required.
  • Typing Ability: Must be able to type a minimum of 25 words per minute.
  • Organizational Skills: Strong organizational and time-management skills, with the ability to prioritize tasks.
  • Problem Solving: Excellent attention to detail and problem-solving abilities.
  • Communication Skills: Excellent verbal and written communication skills.
  • Adaptability: Ability to work well under pressure in a fast-paced environment, managing multiple tasks.
  • Teamwork and Independence: Ability to work both independently and as part of a team.
  • Guest Service Focus: Ability to remain calm, courteous, and focused on guest needs at all times.
  • Reliability: Highly responsible and reliable.
  • US Work Authorization required

Physical Aspects of Position (include but are not limited to):

  • Frequent sitting throughout shift
  • Occasional kneeling, pushing, pulling, lifting, walking, and standing
  • Occasional climbing of stairs, ladders, and ramps
