Job Description

We are seeking an Associate Director of Events to join our dynamic team in Udaipur, India. In this leadership role, you will oversee the planning, coordination, and execution of corporate events while managing a team of event professionals. The ideal candidate will combine strategic vision with meticulous attention to detail, driving innovative event experiences that align with organizational objectives and exceed stakeholder expectations.

  • Lead the end-to-end planning and execution of corporate events, conferences, and experiential programs, ensuring seamless delivery and exceptional attendee experiences
  • Manage and mentor a team of event coordinators and specialists, providing guidance, performance feedback, and professional development opportunities
  • Develop comprehensive event budgets, manage vendor relationships, and negotiate contracts to optimize costs while maintaining quality standards
  • Coordinate with cross-functional departments including marketing, communications, and operations to align event objectives with broader organizational goals
  • Oversee event logistics, including venue selection, catering, technology setup, and on-site management to ensure flawless execution
  • Analyze event performance metrics and gather attendee feedback to identify improvement opportunities and measure return on investment
  • Identify and implement innovative event formats, technologies, and strategies to enhance engagement and differentiate our events in the market
  • Manage risk mitigation and contingency planning to address potential challenges and ensure business continuity
  • Maintain detailed event documentation, timelines, and project plans using event management software and organizational systems
  • Represent the organization at industry events and networking opportunities to build relationships and stay current with event management trends

Qualifications

  • 5+ years of progressive experience in event management, with demonstrated success in planning and executing large-scale corporate events
  • 2+ years of leadership experience managing event teams or coordinating cross-functional project groups
  • Proven expertise in event planning, project management, and vendor coordination
  • Strong organizational and time management skills with the ability to manage multiple events simultaneously
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively across all organizational levels
  • Proficiency with event management software, Microsoft Office Suite, and project management tools
  • Demonstrated ability to develop and manage budgets, analyze financial data, and optimize resource allocation
  • Problem-solving mindset with the ability to adapt quickly to changing circumstances and manage unexpected challenges
  • Knowledge of the Udaipur event landscape and familiarity with local vendors and venues is a plus
  • Experience with digital event platforms and virtual or hybrid event management is preferred
  • Understanding of marketing principles and their application to event promotion and attendee engagement is desirable
  • Strong attention to detail with a commitment to delivering high-quality, professional events
