Job Description

Reporting to the Procurement & Cost Control Manager, responsibilities and essential functions include, but are not limited to:

 

Receiving & Storage Operations

  • Assist all departments in the distribution of supplies and products, ensuring accurate accountability of goods from food stores and receiving areas
  • Receive all incoming materials and reconcile deliveries with approved purchase orders
  • Unload food and beverage products from delivery trucks
  • Inspect all received materials and coordinate returns to suppliers in case of damage or discrepancies
  • Ensure all products are correctly stored in appropriate areas, including storage rooms, refrigerators, and freezers
  • Maintain proper stock rotation in accordance with FIFO standards
  • Coordinate the disposal of surplus or expired items

 

Inventory Control & Stock Management

  • Maintain accurate inventory records, including receipts, issues, adjustments, and returns
  • Ensure inventory levels remain within established minimum and maximum limits
  • Participate in monthly inventory counts and perform daily spot checks
  • Manage stock organization and ensure optimal arrangement of goods under responsibility
  • In coordination with Heads of Department, manage inventory control and end-of-month closings in compliance with administrative and accounting procedures

 

Purchasing & Supplier Coordination

  • Assist in procuring items required for daily operations
  • Research and analyze market trends, pricing, and product availability
  • Continuously compare supplier quality, pricing, and performance
  • Process purchase orders based on authorized purchase requests
  • Obtain, analyze, and evaluate multiple quotations for each purchase request
  • Negotiate with suppliers to secure best quality products at competitive prices
  • Manage supplier database and maintain accurate records of supplier information, pricing, and quantities
  • Ensure timely delivery of purchased goods and appropriate storage upon receipt
  • Maintain professional and ethical relationships with suppliers and internal stakeholders

 

Collaboration & Communication

  • Work closely with the Chef and Executive Sous Chef to maintain product freshness and proper rotation
  • Collaborate with department heads to determine required product quality and quantities
  • Communicate professionally with colleagues, suppliers, and stakeholders via phone, email, written correspondence, or in person
  • Keep relevant management informed of supply-related issues and operational needs

 

Health, Safety & Compliance

  • Follow all company policies, departmental procedures, and local legal requirements
  • Comply with health, safety, ergonomic, and security standards
  • Adhere to hazardous material handling and disposal procedures
  • Ensure safe operation and storage of tools, equipment, materials, and machinery
  • Report all work-related accidents or injuries immediately to the supervisor

 

Emergency & Service Standards

  • Remain available and responsive during emergencies, acting professionally to protect guests, staff, and hotel property in accordance with the Hotel Emergency Plan
  • Consistently provide professional, friendly, and courteous service
  • Perform any other duties as assigned by management

Qualifications

• High school diploma or equivalent
• Minimum of 2 years of experience in warehouse or logistics operations
• Proficiency in inventory management systems and Microsoft Office Suite (Excel, Word)
• Knowledge of supply chain and logistics processes
• Familiarity with health and safety regulations in warehousing
• Strong organizational and time management skills
• Excellent attention to detail and accuracy in record-keeping
• Ability to lift and move heavy items (up to 20kg) regularly
• Good communication and interpersonal skills
• Forklift operation certification (preferred)
• Warehouse Management certification (preferred)
• Flexibility to work in shifts, including weekends and holidays if required
• Excellent communication and organizational skills
• Fluency in Portuguese
• Good command of English
• Proficiency in Microsoft Windows applications and other relevant software
• Highly responsible and reliable
• Strong team spirit and collaborative mindset
• Ability to remain calm, courteous, and guest-focused at all times
