Job Description

We're looking for a dynamic and empathetic People & Culture Executive to join our team in Sepang, Malaysia. In this role, you'll be instrumental in supporting the day-to-day operations of our People & Culture function, driving colleague engagement, and fostering an inclusive, supportive workplace culture. You'll work collaboratively across departments to ensure our organization attracts, develops, and retains top talent while maintaining the highest standards of compliance and operational excellence.

RECRUITMENT & ONBOARDING 

  • Coordinate end-to-end recruitment process: job postings, candidate screening, interview arrangements, and selection support.  
  • Work closely with the hiring manager on the additional requirements to match the candidate profiles. 
  • Attending to interview session as scheduled, provide in-writing review for position entry-level position or higher position in absence of superior on duty. 
  • To raise proposal for hiring and prepare offer letters, contracts and ensure smooth onboarding for new hires. Ensure pre-employment medical examination,  background checks are conducted before job offer being executed. 
  • To ensure new hiring onboarding documents, accommodation, uniforms, keys and   is ready prior join date. 
  • To ensure new hired are enrolled and provided with access to Heartist communication groups, learning platforms, internal systems; HMS, e-HMS, EMP, Heartist Portal and other related platform; if any. 
  • To prepare communication poster/email for new hired on monthly basis. 
  • To perform walk-about with new Heartist on the first day join, to ensure Heartist is familiar with the general area and facilities that accessible. 
  • Conduct orientation sessions for new Heartist, introducing company policies, culture, and operational and brand standard standards. 

EMPLOYEE RELATIONS & ENGAGEMENT 

  • To act as a point of contact for heartist in concerns and grievances, supporting resolution in alignment with company and brand policies. Ensure each of grievances is written down for record purpose. 
  • Organize and execute employee engagement activities (town halls, festive celebrations, sport activities, CSR Initiatives, building events, Heartist rewards, ESS and other related events). 
  • Support heartist wellness and motivation through structured feedback and open communication channels. 
  • Conducts exit interview and analyze feedback to propose retention strategies to TCM and upper management. 
  • Ensure internal Memorandum/information is being communicated to heartist through email or group communication chat platform. 
  • Consults with line management, providing HR guidance when appropriate .
  • Works closely with management and employees to improve work relationships, build morale, and increase productivity and retention.

TRAINING & DEVELOPMENT 

  • Coordinate internal and external training programs based on individual and departmental needs. 
  • To liase with trainers on training details and ensure information/invitation is communicated to respective department, HOD’s and participants. 
  • Maintain accurate training records in line with audit and compliance requirements, on monthly basis. 
  • Schedule internal and external training sessions (service culture, compliance, technical skills, leadership, health & safety, and brand-specific training). 
  • Monitor training attendance, collect feedback, and prepare post-training reports. 
  • Support succession planning and development initiatives through ongoing learning and coaching support. 

PERFORMANCE MANAGEMENT 

  • Facilitate probationary and annual performance appraisal processes. 
  • To assist respective department head and the managers in providing clear guidelines as when required. 
  • Keep track performance reviews, reminders and documentation. Setting up appraisal submission through calendar reminder to Heartist direct superior to ensure documents received on time. 

TALENT ADMINISTRATION & COMPLIANCE 

  • Maintain up-to-date personnel files for all heartist, including contracts, records of leaves, disciplinary actions, and performance reviews. 
  • Ensure accurate tracking of attendance, overtime, shift schedules, and leave balances for payroll processing. 
  • Administer heartist benefits programs: medical, insurance, statutory contributions (EPF, SOCSO, EIS), and other company perks. 
  • Ensure compliance with Malaysian labor laws, Employment Act, hotel brand standards, and audit checklists. 
  • Assist with expatriate work permits, visa applications, and renewals as applicable

COMPENSATION & BENEFITS  

  • Support monthly payroll processes by ensuring timely submission of attendance, leave and overtime records submitted, reviewed and approved. 
  • Assist with heartist benefits administration: medical claims, insurance enrollment and statutory claims and contributions. 
  • Coordinate with the Finance team to ensure timely salary processing. 
  • Support salary benchmarking, salary adjustment exercises, and annual review processes. 
  • Strong command of spoken and written English with excellent communication skills

Qualifications

  • Minimum diploma or degree in Human Resources or related course.  
  • Candidate with knowledge in HR system will be added advantage  
  • 3 years of working experiences in related field and capacity 
  • Sound knowledge of domestic mandatory legislative and statutory requirements  
  • Good attitude, judgement, integrity and responsible. 
  • Ability to collaborate effectively with internal customers (employee) and external customers (guests). 
  • Ability to perform under pressure and to keep within tight deadlines. 
  • Professional, a team-player and one who can enlist cooperation from his superiors, peers, colleagues, subordinates and ability to work with all levels of the workforce. 
  • Have good contacts and maintain close-ties with other HR practitioners/ professionals within the industry, government bodies and other relevant authorities. 
  • Possess exceptional patience, understanding and genuine interest to help people. 
  • Well-versed in Microsoft Word, Excel & Power poi
