Job Description

We are seeking a Guest Service Associate for our Front Office team in Kochi, India. In this role, you will be the first point of contact for our guests, delivering exceptional hospitality and ensuring a seamless experience from arrival to departure.   • Greet and welcome guests upon arrival with genuine warmth, enthusiasm, and professionalism, setting a positive tone for their stay
  • Process guest check-ins and check-outs efficiently while maintaining accuracy in all documentation and reservation details
  • Manage room reservations, modifications, and cancellations using the property management system with attention to detail
  • Respond promptly and professionally to guest inquiries via phone, email, and in-person communication, demonstrating flexibility in addressing diverse needs
  • Provide concierge services including restaurant recommendations, local attraction information, and travel arrangement assistance tailored to guest preferences
  • Handle guest concerns and complaints with empathy and professionalism, working collaboratively to resolve issues and ensure satisfaction
  • Process payments and manage billing inquiries with accuracy, discretion, and adherence to security protocols
  • Coordinate with housekeeping, maintenance, and other departments to address guest requests and resolve maintenance issues efficiently
  • Maintain a clean, organized, and welcoming front desk environment that reflects our commitment to excellence
  • Perform administrative duties including data entry, filing, and record maintenance with precision and organization
  • Upsell hotel services and amenities strategically to enhance guest experience and support revenue goals
  • Ensure compliance with security protocols, guest privacy regulations, and data protection standards at all times
  • Assist with special requests and arrangements for VIP guests and events, demonstrating a supportive and inclusive approach
  • Collaborate with team members to support overall front office operations and contribute to a positive workplace culture
  • Maintain professional appearance and demeanor consistent with organizational standards and expectations

Qualifications

**Required Qualifications:**

  • High school diploma or equivalent qualification
  • Minimum 1-2 years of guest service or front office experience in a hospitality setting
  • Proficiency in using property management systems (PMS) and hotel management software
  • Excellent verbal and written communication skills in English
  • Strong customer service orientation with demonstrated ability to handle guest interactions professionally and empathetically
  • Proven ability to manage multiple tasks and prioritize effectively in a fast-paced environment
  • Proficiency in Microsoft Office applications (Word, Excel, Outlook)
  • Knowledge of hotel operations, reservation systems, and front office procedures
  • Strong problem-solving and conflict resolution abilities
  • Excellent attention to detail and organizational skills
  • Ability to handle cash and payment processing accurately
  • Professional demeanor and commitment to maintaining appearance standards consistent with organizational expectations
  • Understanding of security protocols and guest privacy regulations

**Preferred Qualifications:**

  • Proficiency in additional languages beyond English
  • Experience with hotel loyalty programs and guest management systems
  • Certification in hospitality or customer service excellence
  • Experience handling VIP guest services and special event coordination
  • Knowledge of local Kochi attractions, restaurants, and travel services
