Job Description

  • Create and maintain group bookings, including rooming lists, arrivals, meals, deposits, and final numbers; follow up promptly on missing information.
  • Liaise with internal departments (Front Office, Reservations, Housekeeping, F&B, Porters) to ensure group requirements, special requests, and contractual agreements are accurately actioned.
  • Prepare and distribute standardised group reports to relevant hotel departments to communicate requirements and upcoming arrivals.
  • Monitor and report weekly on group bookings, identifying key demand periods and opportunities for revenue optimisation; track booking materialisation, wash, and turnaways.
  • Maintain accurate records in Opera, including all activities, contacts, and billing; ensure master accounts and commission processing are correct.
  • Support the development and qualification of new group leads, alert management to potential issues, and promote upselling and add-on sales.
  • Develop and maintain strong relationships with clients, PCOs, suppliers, and partner hotels to support repeat business and client satisfaction.
  • Ensure all correspondence, contracts, and communications comply with hotel policies and brand standards.
  • Assist with payments, no-shows, and cancellation management in accordance with hotel policies.
  • Attend to daily administrative duties, including correspondence, filing, and reports, and perform any additional tasks as assigned by management.

Qualifications

  • Proven experience in luxury hotel group or events management, ideally in a supervisory role.
  • Strong understanding of group operations, sales, and event planning processes.
  • Exceptional organisational and multitasking abilities.
  • Excellent interpersonal, communication, and negotiation skills.
  • Detail-oriented with a commitment to delivering a luxury guest experience.
  • Proficiency in hotel reservation and events management systems.
  • Flexible and adaptable, with the ability to work weekends or evenings as required.
  • Previous experience with Opera Cloud is preferrable but not required. 
  • A friendly, guest-focused attitude with passion for providing exceptional and memorable moments.
