Job Description

Job Description of Events Coordinator 

Key Responsibilities The Events Coordinator is responsible for supporting the planning, coordination, and execution of all events, including meetings, conferences, social functions, and special occasions. This role acts as a key liaison between clients and internal operational teams to ensure seamless event delivery and exceptional guest satisfaction. The Events Coordinator assists with administrative tasks, event documentation, communication, and on-site support. 

Key Responsibilities 

  • Assist in the planning and coordination of all event details, including setup requirements, menus, audio-visual needs, itineraries, and event timelines. 

  • Prepare and distribute Banquet Event Orders (BEOs), function sheets, and event summaries to all relevant departments. 

  • Coordinate internal meetings with Operations, F&B, and AV teams to ensure alignment on event requirements. 

  • Serve as a primary point of contact for clients during the planning and pre-event stages. 

  • Respond promptly to event-related inquiries, requests, and updates. 

  • Conduct venue show rounds and assist clients in selecting spaces and packages. 

  • Build positive relationships to enhance client satisfaction and encourage repeat business. 

  • Provide on-site support during events to ensure smooth operations and adherence to client expectations. 

  • Coordinate with internal teams to resolve any issues promptly and effectively. 

  • Monitor event flow, guest needs, and service delivery to maintain high-quality standards. 

  • Prepare proposals, contracts, event confirmations, and updated event files. 

  • Maintain accurate event records in Opera Sales & Catering system 

  • Track event payments, deposits, and billing details in coordination with Finance. 

  • Assist with post-event follow-up, feedback collection, and reporting. 


Additional Information

  1. Participate in the Quality improvement process

 

  1. Maintain a close relationship with other department Managers/heads.

 

  1. Work closely with the hotel team either in finance or other departments to ensure smooth communications are maintained.
