Job Description

We are looking for a Conference & Groups Sales Executive to join our team. In this role, you will be responsible for managing conference & groups bookings, ensuring the seamless coordination of events & groups services, and providing excellent customer support.

 

Main Responsibilities

 

  • Respond promptly to all group and conference inquiries via email, phone, or online platforms within specified timelines.
  • Qualify and assess client needs to provide tailored proposals and solutions.
  • Prepare and send detailed proposals and contracts for group and conference bookings
  • Convert inquiries into confirmed bookings by showcasing the hotel's facilities, services, and added value.
  • Actively upsell and cross-sell hotel services to maximize revenue.
  • Achieve and exceed set sales targets for group and conference bookings.
  • Develop and maintain strong relationships with new and existing clients, ensuring repeat business.
  • Act as a point of contact for clients throughout the planning and execution phases of their event.
  • Conduct site inspections with prospective clients, showcasing the venue's features and services.
  • Collaborate closely with the front office, operations, and food & beverage teams to ensure seamless execution of group bookings and conferences.
  • Share client expectations, event details, and special requirements with relevant departments to ensure smooth delivery.
  • Manage and input all group and conference reservations in the hotel’s booking system.
  • Ensure all contracts, rooming lists, and event details are accurate and up to date.
  • Manage group blocks, monitor pick-up, and release any unsold inventory to maximize room availability.
  • Conduct post-event feedback with clients to gauge satisfaction and identify areas for improvement.
  • Assist with billing and account reconciliation after the completion of events and group stays.
  • Keep up to date with competitor offerings, pricing, and market trends to position the hotel effectively in the marketplace.
  • Participate in regular sales meetings to discuss performance, targets, and strategies.
  • Prepare and submit weekly and monthly sales reports to management, detailing confirmed business, pipeline, and key performance indicators (KPIs).
  • Promote the hotel’s brand and maintain excellent public relations with external partners, clients, and agencies.
  • Other duties as requested such as Individual Reservations, Reception or Accounts/Admin cover
