Job Description

The Accounting Supervisor will be responsible for posting monthly transactions, preparing monthly invoices and statements, posting each receipt and wire transfer for Golf membership & Agronomy departments.

Accounts Payable, Vendor & Purchase Order Management

  • Assist the Golf and Agronomy departments with the accurate processing, tracking, and submission of invoices to Accounts Payable.
  • Monitor membership aging and follow up with members regarding past due balances.
  • Update ACCOR loyalty points for members.
  • Assist with various special projects as assigned by the Credit Manager/Assistant Director of Finance/Chief Accountant.
  • Serve as a primary point of contact with Accounts Payable regarding invoice status, discrepancies, and payment timing.
  • Review vendor statements for Golf and Agronomy to ensure accuracy, completeness, and timely resolution of outstanding items.
  • Audit and validate all purchase orders for compliance with established purchasing and approval protocols.
  • Coordinate vendor set-up and ongoing vendor maintenance to ensure all Golf and Agronomy vendors are current, accurate, and properly maintained in BirchStreet.
  • Work in partnership with Purchasing and Finance to resolve vendor record issues that may delay invoicing or payment.
  • Close purchase orders in BirchStreet once all goods or services have been fully received and invoiced.
  • Scan and upload approved invoices into CORA for payment processing and record retention.
  • Ability to write reports, business correspondence, and procedure manuals

Receiving, Inventory & Systems Coordination

  • Track all incoming packages for Golf and Agronomy and ensure items are properly received in the BirchStreet PO system.
  • Work closely with the Purchasing department and main loading dock to ensure Golf and Agronomy deliveries are sorted, documented, and accounted for promptly, enabling timely invoice processing.
  • Receive retail merchandise into inventory systems (Dataworks) in coordination with the Merchandiser and/or Golf Retail Manager.

Inventory Control & Reporting

  • Audit monthly physical inventory counts of the Golf Shop.
  • Review and analyze inventory variance reports in partnership with the Merchandiser and/or Golf Retail Manager.

 


Qualifications

  • Background in accounting and proficient knowledge of computer programs. Must be customer service oriented and be able to communicate with customers on a professional level.
  • Proficient in computer programs, such as Accounting programs and Microsoft Office (excel, word, etc.)
  • Prior accounting experience is required
  • Customer Service experience is preferred
  • Ability to communicate both verbally and written in English.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from managers, clients, customers, and vendors.
  • Ability to communicate to customers in a professional, business-like manner.

  • At least 2 years’ experience in Membership billing/Accounting preferred.
