Job Description

We are seeking an organised and professional Groups, Meeting and Event Coordinator to join our team in Birmingham, United Kingdom. In this role, you will be responsible for planning, coordinating, and delivering exceptional meetings and events for various groups and stakeholders. You will work collaboratively across departments to ensure seamless execution of all activities, whilst maintaining meticulous attention to detail and providing outstanding support to all attendees.

  • Plan, organise, and coordinate meetings and events from conception through to completion, ensuring all objectives are met • Manage group bookings and logistics, including venue selection, catering arrangements, and equipment requirements • Liaise with internal stakeholders and external vendors to secure services, negotiate terms, and maintain positive working relationships • Maintain comprehensive schedules, calendars, and documentation; manage multiple events simultaneously with efficiency • Oversee budget management and cost control, tracking expenditure and identifying opportunities for value optimisation
  • Provide administrative support including correspondence, minute-taking, and preparation of event materials and reports • Identify potential issues and develop contingency plans to ensure events proceed smoothly • Deliver exceptional customer service to groups and attendees, addressing queries and concerns promptly and professionally • Maintain detailed records of all events, attendee information, and feedback for future reference and continuous improvement • Collaborate with colleagues to support the successful delivery of organisational objectives and group requirements

Qualifications

**Required Skills and Experience:** • Proven experience in event planning, meeting coordination, or group management • Excellent organisational and time management skills with the ability to prioritise multiple tasks • Strong written and verbal communication skills with the ability to liaise effectively with diverse stakeholders • Proficiency in administrative tasks including scheduling, documentation, and record-keeping

  • Demonstrated ability to manage budgets and control costs • Strong attention to detail and commitment to delivering high-quality outcomes • Excellent problem-solving abilities and capacity to work calmly under pressure • Proven people skills and ability to work collaboratively within a team environment • Experience in stakeholder management and vendor coordination

**Desirable Skills and Experience:** • Proficiency with event management software and booking systems • Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) • Knowledge of venue management and logistics coordination • Experience coordinating large-scale or complex events • Background in customer service or hospitality • Project management experience • Familiarity with budget forecasting and financial reporting
