Job Description

We are seeking a highly motivated and detail-oriented Group Reservations Agent to join our dynamic team at Novotel Melbourne South Wharf. As a Group Reservations Agent, you will play a key role in ensuring the seamless coordination of group bookings and reservations, providing exceptional customer service to both our clients and internal teams, within our portfolio hotels. Key duties include:

  • Responsible for the management of all group bookings of 10 rooms or more.
  • Handle enquiries for group bookings via email or phone during the shift, communicate immediately, and provide a reply or confirmation within a reasonable timeframe.
  • Handle guest complaints and enquiries in an efficient and professional manner and ensure the Reservations Manager is informed of any guest feedback.
  • Perform all reservations duties including making and entering reservations.
  • Prepare group information sheets (group movements) and briefing of Hotel Stakeholders prior to arrival of group.
  • Ensure a clear line of communication with other departments for special requests or other reservation-related matters.

Qualifications

  • Experience in a Front Office or Reservations role is highly desirable.
  • Strong working knowledge of Microsoft Outlook, Microsoft Office and Opera PMS is advantageous.
  • Ability to work independently and demonstrated initiative in a dynamic environment.
  • Confident and articulate communication, negotiation, relationship and networking skills.
  • Time management skills with the ability to multitask.
  • Flexibility to work a variety of shifts including mornings, nights, weekends and holiday periods.
