Job Description

We are seeking an organized and detail-oriented **Engineering Coordinator** to join our dynamic team in Tokyo, Japan. As the Engineering Coordinator, you will serve as the operational backbone of our engineering department, ensuring seamless coordination of technical projects, maintenance activities, and cross-functional initiatives. You will work collaboratively with engineering leadership and multiple departments to transform technical complexity into clarity, efficiency, and reliable performance. This role offers an excellent opportunity to develop your technical expertise while supporting the smooth operation of our facilities and systems.

  • Coordinate daily engineering activities, preventive maintenance schedules, and technical requests to ensure all systems operate with precision and reliability
  • Track project timelines, monitor progress, and maintain accountability across engineering initiatives and facility improvements
  • Serve as the central communication hub between Engineering, Operations, Procurement, and other departments, ensuring alignment and clarity on technical matters
  • Liaise with contractors, vendors, and external partners to manage installations, repairs, and system upgrades while maintaining quality standards
  • Maintain comprehensive records, documentation, and reporting systems with meticulous attention to detail, ensuring compliance with safety and operational standards
  • Analyze technical data and operational metrics to identify trends, inefficiencies, and opportunities for improvement
  • Support pre-opening or major renovation projects by coordinating mechanical, electrical, and plumbing system installations and inspections
  • Prepare and organize engineering reports, checklists, and compliance documentation for management review
  • Respond promptly to technical requests and operational issues, prioritizing tasks based on urgency and impact
  • Develop and strengthen technical knowledge of building systems, safety protocols, and Japanese regulatory requirements
  • Foster a collaborative and supportive environment that encourages problem-solving and continuous operational excellence

Qualifications

  • Proven experience in engineering coordination, facilities management, or technical operations, ideally within hospitality, commercial real estate, or large-scale mixed-use developments
  • Highly organized and process-oriented with exceptional attention to detail and strong multitasking abilities
  • Demonstrated proficiency in project tracking, timeline management, and vendor coordination
  • Strong analytical and problem-solving skills with the ability to work efficiently under pressure
  • Excellent written and verbal communication skills in English; fluency in Japanese is essential for this Tokyo-based role
  • Comfortable collaborating across multiple stakeholders and departments with a transparent, inclusive communication style
  • Familiarity with mechanical, electrical, and plumbing (MEP) systems and preventive maintenance practices (preferred)
  • Knowledge of building codes, safety standards, and compliance requirements, particularly Japanese regulatory frameworks
  • Proficiency with project management tools, spreadsheets, and documentation software
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Commitment to operational excellence, safety, and quality with a resilient and decisive approach to problem-solving
  • Ability to adapt to a dynamic work environment and support continuous improvement initiatives
  • Experience working in Japanese business environments or with Japanese contractors and vendors is highly valued
