Job Description

Position Summary

 

  • Support Procurement Department with daily activities of Engineering department.
  • Follow- up on regular basis with the Engineering department in order to better support the operations.
  • Work on all Engineering related Yearly Contracts & Capex requirements.
  • Perform any other reasonable task related to Engineering requested by the Procurement Manager/Director of Procurement.

 

General Tasks:

  • Call for quotations and inquire into prices from various suppliers. Ensure that minimum of three genuine quotations is obtained.
  • Follow up and ensure that goods are delivered in accordance with the purchase order and without any delay.
  • Monitor vendors for quality, service and price through standard purchasing satisfaction.
  • Receive proper purchase requisition from the Engineering department.
  • Raise the Local Purchase Order in the name of the selected supplier.
  • Ensure that the administrative procedures relating to the purchase of goods are followed.
  • Maintain all documents, files and listing up to-date in the most efficient manner.
  • Receiving approved SOW from the department.
  • Reviewing SOW with existing contract.
  • Make sure that SOW has all the information’s to get unique proposals from different service providers.
  • Sending RFQ/RFP for the quotations or proposals.
  • Following with service providers for site visit.
  • Coordinate with Engineering dept. and service providers for the technical discussion.
  • Following with service providers to get the minimum 3 proposals before closing date.
  • Updating the proposal summary based on proposal received date.
  • Review the opened proposals and make sure that all the proposals are made based on the given SOW.
  • Making final discount letter/s and sending for signature.
  • Sending final discount letter/s to the selected company/s.
  • Following & negotiating to receive best discounted proposal.
  • Preparing factsheet once final proposal/s is received.
  • Processing PO in the system once file has been approved by DOF & GM.
  • Coordinating with service provider for original contract & signatures.
  • Filing backup in the file for record.

 

Engineering Breakdown issues: 

  • Getting urgent calls & PR/s from Engineering.
  • Following & pushing suppliers for the site visit and quotation on same day.
  • Complete due diligence to make sure the selected supplier is not charging more because of the emergency situation. 
  • Follow 3 quotation process, if its more than the approved threshold.
  • Processing the PO urgently and following with awarded supplier to complete the job or delivery soon.
  • Filing backup in the file for record.

 

Regular PR’s - Spare parts & Consumables:

  • Receiving PR/s from the department.
  • Seeding RFQ for the quotations.
  • Coordinate with Engineering & suppliers for the samples if any.
  • Follow with the suppliers for the quick quotations.
  • Reviewing the received quotations.
  • Processing PO & filing backup in the file for record.

 


Qualifications

Qualifications

English level:

  • Speaking, understanding, reading and writing

Education:

  • Bachelor’s Degree in Engineering or any other related field preferred

Experience:

  • Minimum 1-year experience in Procurement/Purchasing Department in 5 Star Hotel

Others:

  • High level of IT understanding
  • Ability to use Microsoft package efficiently
