Job Description

  • To consistently offer professional, friendly and engaging service
  • To ensure prompt and courteous service is extended to both internal and external customers:
  • To ensure the achievement of sales objectives on a monthly, quarterly and yearly basis:
  • Based on hotel and/or market conditions, conduct research to adjust contracts with existing tour agencies or develop new ones:
  • Developing group, temporary and/or banquet business through action plan development and execution, obtaining new business opportunities from international operators, travel agents and large tour companies through sound business practices:
  • Discuss and agree directly with management and customers on parameters, offers and prices approved on the basis of written contracts:
  • Participating in trade exhibitions, meetings and advertising events within the framework of both domestic and foreign hotel and trade-related organizations:
  • To maintain accounts, contact, activity and business details within the appropriate software applications:
  • To work closely with Food and Beverage and Front Office to ensure all details of the contract were delivered, all operational event orders and group instruction sheets are delivered on time with other departments properly, guests depart satisfied:
  • To prepare weekly, monthly, quarterly and annual reports:
  • To provide politely assistance and proper coordination to hotel staff and guests;  
  • Participate in weekly department meetings, daily meetings and trainings;
  • To acquire knowledge of Health/Safety;
  • Knowledge used to solve problems or questions in a timely manner is managed properly.
  • To comply with the requirements set by the rules on appearance (dress rules);
  • Understand and adhere to all departmental guidelines and policies;
  • Immediately report directly to the manager about any technical problems and necessary needs in the work process;
  • To fulfill another purpose determined by the direct manager;
  • To assist the work of others of the department;
  • Prepare and submit all reports directly to the manager during the period of duty;
  • To arrange meetings minimum 5 times a week with customers outside the hotel:
  • To share all necessary information fully and correctly with the appropriate departments before the event to be organized and the group arriving at the hotel:

  • Participate in annual budget planning, be aware of the annual sales target set by the department and choose the right strategy to achieve this target:
  • Identify new markets and business opportunities and increase sales.
  • Clear understanding of the hotel business strategies then set goals and to determine action plans to meet those goals.
  • Update action plans and financial objectives quarterly and achieve set sales goals.
  • To provide quick and timely responses to customer, develop professional long term business relationships:
  • To fully organize reservations made by travel agencies for leisure purposes, requirements for guest rooms, food and catering, audiovisual issues from the day of reservation to the day of departure:
  • Prepare agreements and other required documentation of sales he/she realized
  • To organize payment procedures, to collect adequate information about the acceptance of any deposits and/or loans and to ensure that they are received within the acceptable time frame:
  • Actively follow the sales strategy to search for new potential contacts in all areas of sales, develop them and turn them into active productive accounts;
  • Develop strong, mutually beneficial partnerships with local and state vendors to increase weddings held in the hotel and optimize revenue;
  • Review wedding search platforms and marketing opportunities to ensure continued growth of wedding enquiries;

Qualifications

  • Higher education (tourism and hotel management is desirable)
  • Experience in the relevant position
  • Knowledge of Microsoft Windows computer programs   and Opera PMS Software
  • Excellent communication skills, both written and verbal required
  • Strong interpersonal and problem solving abilities
  • Highly responsible & reliable
  • Ability to focus attention on guest needs, remaining calm and courteous at all times
  • Must possess professional telephone etiquette and have an excellent command
  • Fluent Azerbaijani, English, Russian language
  • Strong team player who can work independently in a fast paced environment
  • Dynamic, willing to learn
