Job Description

Reports To: Director of Sales & Marketing

General purpose: The Sales Specialist provides administrative support to the Sales Team, easily accessing and maintaining the organizational structure that keeps necessary information at the command of the Sales Team. Dependable, punctual and enthusiastic, the Sales Specialist is a go-to, flexible member of the team, able to quickly adapt and serve in whatever capacity is needed at a moment’s notice.

Specific Responsibilities:

  • Point of contact for incoming leads; acts as designated lead coordinator for Delphi. Lead catching responsibilities include, but are not limited to providing initial response, generating inquiry/booking in Delphi, assigning/introducing appropriate sales team contact, and providing pricing and informational materials.  
  • Demonstrates a commitment to customer service by soliciting and responding promptly to guest communication and exceeding guest expectations.
  • Deliver the best service, quality and value to every customer, every time. 
  • Coordinates with group contacts prior to arrival.
  • Finalize and distribute weekly Resumes. Attends Resume and BEO meeting.  
  • Converses with hotel department heads to plan execution of group details prior to group arrival (bagging meters, arranging parking for busses, wedding gift bag delivery, etc.).
  • Enters bookings and pulls contracts from Delphi to assist sales managers. Researches and qualifies prospects.
  • Enters data in Delphi that will help Sales Team to provide better service to clients.
  • Replies to direct and third party Request For Proposals. 
  • Enters pertinent notes from past events into Delphi so info is easy to find. 
  • Organizes and maintains files. 
  • Completes weekly and end of month Pick Ups in Delphi.
  • Runs and distributes deposit reports twice weekly for group and event bookings
  • Assists with placing inventory on hold in Opera for tentative groups and events. 
  • Enters definite group and event contracts into Opera. This will involve blocking guestrooms (Opera and Passkey), setting up posting masters, charging deposits and managing rooming lists. 
  • Reviews final posting master after group/event actualizes before charging and sending to client. 
  • Assist DOS and Area Director of Revenue Management with processing travel agent commissions for group bookings and reservations billing-related tasks. 
  • Work with Sales Managers and Event Managers to finalize billing and invoice clients.  Work with Sales and Accounting teams to review the Guest Ledger and close out folios within the Accor SOP timeline.
  • Assists with special events                                                                                                     
  • Becomes intimately knowledgeable about products/ services to confidently answer questions from prospects and clients.
  • Completes other duties as assigned by supervisor.
  • Assist Sales Team with maintaining client and vendor relationships. Included but not limited to, creating Holiday Cards and maintaining our preferred vendor list. 

Qualifications

  • Computer literacy to perform administrative tasks.
  • Proficiency with Microsoft Office, database management, online searching and browsing.
  • Results oriented and shows initiative and creativity in their work performance.
  • Familiarity with Delphi is a plus for booking, tracking, forecasting and searching.
  • Comprehends the group sales process.
  • Excellent verbal and written communication skills. 
  • Presents ideas and information in a concise, well-organized way.
  • Ability to effectively communicate with customers in a friendly and positive manner, in order to meet client needs and resolve concerns. 
  • Manages time well, prioritizing tasks and able manage several tasks simultaneously.

 

  • Outgoing inquisitive personality with aggressive, self-motivated work habits required.
  • Desire to participate as part of a team.
  • Must like to have fun while working, be a team player, a self-starter and be able to hit the ground running.
  • Demonstrates effective problem solving skills.
  • Familiarity with hotel operations, services, and facilities.
  • Must pass a background check.

Education/Experience:

  • Associate’s or Bachelor’s Degree required. 
  • Minimum two years of hotel experience required.
