Job Description

  • Manage and execute all administrative functions of the department with utmost efficiency and precision.
  • Adhere strictly to company norms and internal hotel regulations in the execution of all duties.
  • Maintain absolute confidentiality of sensitive information, recognizing the critical nature of this responsibility.
  • Provide comprehensive secretarial and clerical support to the General Manager, ensuring all tasks are completed to the highest standard.
  • Compile and prepare detailed schedules and reports for internal distribution and submission to Accor Head Office, as directed by the General Manager.
  • Accurately record and transcribe minutes of high-level meetings, including Executive Morning Briefings and dictations from the General Manager.
  • Draft and finalize professional correspondence, including letters and memoranda, implementing a robust coding system for effective tracking.
  • Strategically manage the General Manager's diary, ensuring optimal time allocation for critical tasks and meetings, while allowing sufficient time for uninterrupted work.
  • Process and distribute departmental mail with discretion and efficiency.
  • Maintain meticulous inventory control of office supplies to ensure uninterrupted workflow.
  • Develop a comprehensive understanding of the General Manager's priorities and activities to provide strategic support in decision-making processes.

Qualifications

  • Bachelor’s Degree or Diploma in Hospitality Management
  • Minimum 4 years of secretarial experience with at least 4 years serving the senior management level 
  • Excellent reading, writing, and oral proficiency in English language
  • Good working knowledge of MS Excel, Word, & PowerPoint
  • Good communication and customer contact skills
  • Service-oriented with an eye for details
  • Ability to work effectively and contribute to a team
  • Self-motivated and energetic
  • Well-presented and professionally groomed at all times
