Job Description

What you will be doing:

Reporting to the Front Office Manager, this role supports the Director of Tour & Travel and their Sales Coordinator in all aspects of the Tour & Travel functions:

FIT Bookings

  • Manage all FIT space inquiries by monitoring block space, allotments, and available inventory, while keeping the stop-sell calendar up to date.
  • Input FIT reservations and cancellations in Property Manager.
  • Maintain strong customer relationships with Tour Operators who book FITs via email.
  • Organize and file all FIT requests and correspondence; collaborate with the Accounting Department for billing and prepayment processing.
  • Book FIT meals and coordinate with the Food & Beverage team.
  • Complete the daily tour task list, including but not limited to tracking outstanding FIT payments, arrivals report, and detailed business block updates.

Tour Group Operations

  • Create group masters, set up billing correctly, and input all rooming lists into Property Manager.
  • Manage group block space and respond to Tour Operator allotment requests.
  • Prepare Tour Resumes and collaborate with Tour GSA, Bell Desk, Arc, Accounting, Catering, and IRD.
  • Generate BEO requests for the Catering team.
  • Collect feedback from the Tour GSA and relevant departments, and relay information to the Sales team.
  • Review Tour Operator pace reports and adjust holding blocks accordingly.

General

  • Participate in FAM events as required.
  • Complete daily Reservation Agent tasks as needed.
  • Arrange welcome cards/amenities as required and coordinate with IRD.
  • Provide professional, exceptional service to guests and clients, always striving to exceed expectations.
  • Complete other tasks assigned by the hotel leadership team.

Qualifications

  • Previous Front Office experience is essential, ideally as a Tour Guest Service Agent.
  • Computer proficiency is required; working knowledge of Microsoft Office and Opera Cloud Property Manager is an asset.
  • Excellent communication, interpersonal, and organizational skills are a must.
  • Detail-oriented, accurate, and efficient.
  • Ability to coordinate effectively with hotel departments to ensure smooth operations.
  • Ability to work well under pressure, handle fluctuating work volumes, and prioritize tasks effectively.

Visa Requirements: Must be legally eligible to work in Canada.  The hotel is unable to assist candidates in obtaining Canadian work authorization
