Job Description

As a Group Rooms Coordinator / Reservations Agent, your telephone warmth will make our guests feel welcome and build their anticipation for the exceptional experience that awaits them when they arrive at our Magnifique address!

Group Rooms Coordinator / Reservations Agent

What you will be doing:

  • Using your exceptional people skills, to offer memorable sales experiences for our potential guests and generate revenue by booking rooms. You will also accurately and warmly complete all Sofitel Brands Standards.
  • You will offer warm and welcoming communication by phone, to our internal and external guests and assist with any special requests and will provide the highest level of customer care, before, during and after their stay.
  • You will manage calls, field questions and respond to guests thoughtfully and independently. You will exercise good judgment and a strong intuition to anticipate the needs of each guest.
  • You will collaborate with your team and the Sales department to assist where needed with group reservations. This role may call for you to wear “many hats”, as well as maintaining your work area, properly handling credit card transactions, rooming lists, and so on. 
  • Ensure the best selection for the guest and ensure revenue is maximized through up-selling.
  • Administer the operational and system processes for coordinating, group arrival and departure. This includes verification of reservations, online bookings and rooming lists.
  • Ensure billing and routing is set up based on the group contract.
  • Provide ongoing communication between the client, the hotel, the sales manager and Event Service Manager ensuring all operational standards are met including brand standards, audit requirements and overall guest satisfaction.

  • Organize and implement administrative systems & procedures, and perform necessary support duties
  • Serve as a principal source of information for the team in all Groups
  • Prepare and maintain your department’s records
     

Qualifications

Your experience and skills include:

  • Passion for delivering personalized customer service and a strong commitment to creating the desired guest experience for all.
  • Excellent written and verbal communication, organizational and problem solving skills. An ability to work under pressure while maintaining a sense of poise and professionalism.
  • An ability to warmly and professionally engage with guests and show empathy over the phone.
  • A positive, can-do, team player attitude. A strong desire to support and assist your department and other hotel colleagues, and help them navigate and overcome roadblocks and obstacles.
  • A desire to learn and grow and a fast paced, chic, exciting environment.
  • Prior experience working with Opera or a related system.
  • Ability to prioritize work in an environment with multiple interests.
  • Ability to handle complex and confidential information with discretion
  • Competency using a variety of computer software
