Company Description

We are currently looking for a Group & Event Planning Manager to join the London Cluster of the Hoxton Sales Division within our growing Groups, Meeting & Events Team! 

Working across our London portfolio, comprising of The Hoxton Shoreditch, Holborn, Southwark and Shepherds Bush you will support the Head of Groups & Events – Planning to ensure all Group & Events are planned with accuracy and that clients receive an exceptional level of service across four hotels, as well as ensuring operational teams receive detailed and timely handovers.

Job Description

What you'll do...

  • Reporting into the Head of GME - Planning, you will support the wider team with day-to-day responsibility for the Groups, Meeting & Events planning department.
  • Support the Group & Event Planning Executives, Short Lead Executives & team by leading by example with your excellent organisational skills, keeping your cool under pressure, and delivering training & support on Hoxton brand standards for all stages of the planning journey.
  • Ownership of VIP & higher value bookings once handed over from the GME Reactive Sales team up until Ops handover on the day.
  • Provide tip-top handovers to the hotel teams to deliver memorable guest experiences.
  • Oversee weekly Function Sheet & Group memo distribution, ensuring consistent and clear communication to the operational teams.
  • Support Head of GME with implementing new operational processes & procedures
  • Attend monthly PM meeting & support the team/accounts to close open PMs
  • Ensure all bookings are actualised accurately in Delphi, and conducting post event follow ups.
  • Build relationships with key VIP and high value bookers, encouraging repeat business and identifying potential future leads.
  • Lead on all things Delphi related – how to use system most effectively, troubleshooting any tech glitches, and ensuring it is kept up to date for all hotels (new menus, templates, reports etc.)
  • Show your keen eye for detail to use, update & train the team on our booking systems: think building detailed BEOs, generating invoices, tracking payments and keeping an up-to-date database.
  • Develop great product knowledge and proactively share this with the team through training & day to day support – become a ‘go to’ person who either knows the answer or where to find it!
  • Work with the Head of GME Planning and Director of Sales on projects and initiatives & identify opportunities for success.
  • Be an ambassador for the Hoxton Brand and support the team in keeping the guest experience at the heart of everything we do.
  • Actively contribute to a positive team culture as part of a fast paced, growing, multi-property department.
  • Build strong relationships & communication with other Hoxton teams, championing positive collaboration across multiple areas of the Business.
  • Keep your thinking cap on, get creative when problem solving & don’t be afraid to challenge the norm – we want your fresh ideas!

Qualifications

What we're looking for...

  • Minimum of 4 years’ experience of working within a Hotel Events and/or Groups Team.
  • Minimum of 2 years’ experience at supervisor level.
  • Experience of the London events market and of planning Groups would be an advantage.
  • Experience using a system like OPERA and/or Delphi would be an advantage.
  • A people person, great at building strong and lasting relationships
  • You enjoy working at a fast pace, know how to stay organised and get the details right.
  • You’re looking for a challenge and a place where you can be you (no clones in suits here).
