Job Description

We are seeking a highly organized and efficient Executive Secretary to join our team in Baghdad, Iraq. As the right hand to our executive leadership, you will play a crucial role in ensuring smooth operations and effective communication within our hotel.

  • Manage the executive's calendar, schedule appointments, and coordinate meetings
  • Handle confidential and sensitive information with the utmost discretion
  • Prepare and edit correspondence, presentations, and reports
  • Act as a liaison between executives 
  • Organize and maintain digital and physical filing systems
  • Coordinate travel arrangements and prepare detailed itineraries
  • Take and distribute accurate meeting minutes
  • Manage incoming calls, emails, and other communications efficiently
  • Assist in planning and organizing company events and functions
  • Provide administrative support to other departments as needed
  • Implement and maintain office procedures and systems
  • Monitor and order office supplies
  • Greet and assist visitors to the executive office professionally
  • Adapt to the local business culture while maintaining international standards of professionalism

Qualifications

 

  • Proven experience as an Executive Secretary or in a similar role
  • Exceptional organizational and time management skills
  • Demonstrated ability to handle confidential information with discretion
  • Strong interpersonal skills and ability to interact professionally with senior executives 
  • Problem-solving skills and ability to work independently
  • Flexibility to adapt to changing priorities and meet tight deadlines
  • Knowledge of office management procedures and corporate communication protocols
  • Experience in scheduling and calendar management
  • Ability to multitask and prioritize effectively in a fast-paced environment
