Job Description

The Credit Manager is responsible for overseeing all aspects of hotel credit and accounts receivable operations while ensuring timely billing, collections, and compliance with company policies. This role partners closely with Sales, Front Office, Reservations, and Finance to manage guest and group accounts, evaluate credit risk, maintain accurate financial records, and provide exceptional service to both internal and external clients.

The ideal candidate is detail-oriented, highly organized, and able to build strong relationships while maintaining the financial integrity of the hotel.

Reporting to the ADOF, responsibilities and essential job functions include but are not limited to the following:       

Credit & Accounts Receivable Management

  • Oversee the daily credit and accounts receivable functions for the hotel.
  • Review daily transfer postings and reconcile prior-day revenue activity.
  • Verify invoices and billing transactions for accuracy.
  • Prepare and distribute guest, group, and corporate invoices in accordance with contractual agreements.
  • Review group master accounts to ensure all contracted charges have been posted accurately.
  • Monitor guest ledger balances and ensure established credit limits are maintained.
  • Review delinquent accounts and perform collection activities to maintain healthy aging.
  • Manage the Accounts Receivable aging report and follow up on outstanding balances over 30 days.
  • Process chargebacks and resolve billing discrepancies in a timely manner.
  • Monitor monthly house accounts and ensure proper billing.

Credit Administration

  • Evaluate and process customer credit applications.
  • Determine appropriate credit limits based on financial information and company policy.
  • Communicate credit decisions to Sales and other departments, including documentation supporting denied applications.
  • Work closely with the Front Office to resolve accounts that exceed credit limits or require immediate attention.
  • Ensure compliance with hotel credit policies, deposit requirements, and contractual billing terms.

Group Billing & Client Relations

  • Coordinate billing arrangements for group business and special events.
  • Review group billing prior to client distribution to ensure accuracy.
  • Ensure deposits and billing comply with contract specifications.
  • Participate in pre-convention meetings as needed.
  • Build positive relationships with clients by responding promptly to billing questions and account concerns.
  • Conduct billing review meetings with clients when necessary.

Leadership & Collaboration

  • Supervise and provide direction to Accounts Receivable team members.
  • Monitor team performance and provide coaching to ensure departmental goals are achieved.
  • Organize and facilitate monthly credit meetings.
  • Collaborate with Finance, Front Office, Sales, Reservations, and Food & Beverage departments to resolve billing issues.
  • Maintain positive working relationships across all hotel departments.

Administrative & Operational Responsibilities

  • Maintain accurate customer account records within the hotel's financial systems.
  • Keep attrition records updated and ensure billing aligns with contractual terms.
  • Maintain office supplies and support departmental administrative functions.
  • Follow all company policies, procedures, and safety standards.
  • Perform other duties as assigned.

  • Previous office administration or accounting experience preferred
  • Prior supervisory or managerial experience required
  • Computer literate in Microsoft Window applications or relevant computer applications required
  • University/College degree in a related discipline an asset

  • Strong interpersonal and problem solving abilities
  • Highly responsible & reliable
  • Ability to work cohesively as part of a team
  • Ability to focus attention on guest needs, remaining calm and courteous at all times

Physical Demands

This position requires:

  • Frequent sitting throughout shift
  • Occasional lifting and carrying up to 20 lbs
  • Occasional kneeling, pushing, pulling, lifting
  • Occasional ascending or descending ladders, stairs and ramps

Additional Information

Compensation: Subject to experience and qualifications, salary range $65,000 - $75,000

Visa Requirements: Successful candidates must be legally eligible to work in the United States.
