What you will be doing:

  • Be the point of contact in the office for colleagues with Talent and Culture related requests and inquiries including: access issues, benefit questions, reservation requests
  • Provide day to day administration and coordination of all activities within the Talent & Culture Department including: filing, photocopying, collating, mail, courier, phone and fax; typing of correspondence, reports, charts, tables, brochures and other collateral materials, etc.
  • Maintain a confidential, accurate and organized filing system for employee personnel and disciplinary files;
  • Data input and tracking of information into HR Systems (new hire files, status changes, training, benefits, pension, payroll, etc.).
  • Ensure exit interviews and Termination checklists are completed for all departing colleagues and analyze and summarize exit interview results for senior leaders to review
  • Prepare and coordinate new hire onboarding including; paperwork completion, access and registration requirements
  • Own the internal social media and communication platforms to ensure new information and events are promoted to colleagues
  • Coordinate office ordering and deliveries
  • Coordinate employee related activities and events
  • Communicate monthly colleague anniversaries and birthdays to Leaders
  • Support the Heartist Committee with tracking monthly nominations
  • Track and order travel program cards
  • Manage the locker assignment tracking system
  • Complete cheque processing for hotel
  • Communicate and administer Manulife benefits program
  • Help Maintain the Company Culture
  • Promote, live and demonstrate Company Values;
  • Understand, communicate, implement, and adhere to all Talent & Culture policies & procedures.
  • Support a safe working environment by ensuring local regulations are upheld for workplace health and safety;
  • Participate in regular fire drills, evacuations and training on safety and emergency procedures;
  • Other duties as assigned

Qualifications

Your experience and skills include:

  • Diploma/Degree in Human Resources or related field an asset
  • Minimum of 2 years of experience in administrative role
  • Hotel operation experience is desirable;
  • Ability to support a collaborative environment;
  • Excellent interpersonal skills with ability to communicate with all levels of colleagues;
  • Excellent organization skills, ability to multi-task and maintain confidentiality;
  • Multicultural awareness and able to work with people from diverse backgrounds;
  • Flexible, able to embrace and respond to change effectively;
  • Self-motivated, energetic, and participative.

Physical Aspects of Position (include but are not limited to):

  • Frequent standing and walking
  • Occasional bending and kneeling
  • Occasional carrying and lifting up to 25lbs
  • Repetitive computer movement

Additional Information

      Visa Requirements: Must be legally eligible to work in Canada. The hotel is unable to assist candidates in obtaining Canadian work authorization.
