People & Culture Executive – Recruitment Focus (Vietnamese Local Only)

MAIN PURPOSE OF THE ROLE
Under the guidance of the People & Culture Manager / Director of People & Culture and in line with Rixos Brand Standards, the People & Culture Executive (Recruitment Focus) is primarily responsible for end-to-end recruitment operations to support pre-opening and ongoing manpower needs of the resort.
The role ensures timely, high-quality hiring, smooth onboarding of new colleagues, accurate recruitment reporting, and strong coordination with internal departments and external partners, while maintaining compliance with company policies, labor regulations, and ISO Integrated Management Systems.
KEY RESPONSIBILITIES
1. Recruitment & Talent Acquisition (Core Focus)
- Manage full-cycle recruitment for assigned positions, including sourcing, screening, interviewing, reference checking, offer preparation, and candidate communication
- Build and maintain a talent pool / CV database for current and future recruitment needs
- Coordinate recruitment campaigns, job fairs, mass hiring activities (especially during pre-opening phase)
- Liaise closely with department heads to understand manpower requirements, job scopes, and timelines
- Prepare recruitment offers, contracts, and ensure accuracy and compliance with internal standards
- Monitor recruitment progress and provide regular recruitment status reports and analytics
2. Onboarding & Joiners Administration
- Coordinate new joiners’ onboarding process, including orientation schedules, documentation, and induction materials
- Work closely with relevant stakeholders to ensure smooth joining, arrival, and integration of new colleagues
- Coordinate with relevant authorities/partners (e.g. PRO or equivalent) for visa, work permit, and related employment documentation where applicable
3. People & Culture Operations Support
- Maintain accurate and confidential employee files, databases, and MIS records
- Update employee information including personal details, employment history, and status changes
- Support internal audits related to recruitment and People & Culture processes
- Coordinate with departments on People & Culture-related matters as assigned
4. Reporting, Compliance & Documentation
- Prepare and maintain recruitment reports, manpower tracking, and headcount updates
- Ensure compliance with Rixos policies, labor law requirements, and ISO Integrated Management Systems
- Handle sensitive and confidential information with the highest level of professionalism
5. Communication & Employee Relations
- Maintain open communication between employees and People & Culture department
- Respond to recruitment and People & Culture-related inquiries professionally and timely
- Build positive working relationships across all departments
6. General & Administrative Duties
- Organize correspondence, filing systems, and People & Culture documentation
- Assist with meeting arrangements, minutes, and internal communications as required
- Support the People & Culture team in additional administrative tasks when needed
- Perform other reasonable duties as assigned by management
EDUCATION & EXPERIENCE
Education:
- Bachelor’s Degree in Human Resources, Business Administration, Hospitality Management, or related fields is an advantage
Experience:
- Minimum 2 years of experience in recruitment, HR administration, or a similar People & Culture role
- Hospitality or pre-opening experience is a strong advantage
Skills & Competencies:
- Strong recruitment coordination and organizational skills
- Excellent communication skills in English (Vietnamese required; additional languages are a plus)
- Proficient in Microsoft Office applications
- High level of integrity, confidentiality, and professionalism
- Ability to work independently and collaboratively in a fast-paced environment
