Job Description

Join our team as an Engineering Coordinator and play a key role in keeping hotel operations running smoothly. This part-time position supports the Engineering Department through coordination, communication, and administration to ensure maintenance requests, room readiness, and operational needs are handled efficiently and to the highest standards.

What You’ll Do

  • Coordinate closely with Front Office, Housekeeping, and Engineering to ensure all guest rooms are fully prepared and meet brand standards before check-in.
  • Monitor room status and maintenance issues, arranging urgent repairs to minimise operational disruption.
  • Track and manage engineering work requests through the ENG system, ensuring accurate logging, follow-up, and completion.
  • Act as the primary communication point for the Engineering office, assisting internal teams and external contractors.
  • Maintain organised records including contractor documentation, compliance certificates, service reports, and maintenance logs.
  • Process supplier and contractor invoices accurately in line with Finance procedures.
  • Liaise with contractors to obtain quotes, technical documents, and compliance records.
  • Support engineering meetings, operational briefings, and cross-department coordination.
  • Assist with stock control, procurement, and inventory management of engineering materials and spare parts.
  • Help coordinate preventative maintenance programs and asset management activities.
  • Ensure compliance with hotel security procedures, including contractor access and key control.
  • Contribute to sustainability initiatives that promote efficient energy and resource use.

Qualifications

  • Previous administration or coordination experience (hotel or facilities environment highly regarded).
  • Strong organisation and communication skills with great attention to detail.
  • Ability to multitask and work collaboratively with multiple departments.
  • Experience with maintenance or work-order systems (HotSOS or similar) is an advantage.
  • A proactive attitude and commitment to delivering excellent service.
