Job Description

Summary of Responsibilities:

Reporting to the Director of Finance with a functional reporting relationship to the Director of Food and Beverage, responsibilities and essential job functions include, but are not limited to, the following:

  • Consistently offer professional, friendly and proactive customer service while supporting fellow colleagues
  • Demonstrate Fairmont core values in all interactions
  • Motivate, lead, coach, and manage all aspects of team members’ performance
  • Manage the overall operations of the Purchasing and Storeroom Department to ensure all departments have adequate supplies to perform their duties in an efficient manner
  • Ensure that the department works closely with the Executive Chef and the Director of Food and Beverage to purchase the highest quality product while constantly searching for the lowest price
  • Assist management with obtaining competitive price quotations and confirm purchase availabilities
  • Ensure all purchase order requests are properly completed and approved before a purchase order is prepared and the items are purchased
  • Ensure that all items received by the hotel are properly documented in accordance with the Company’s purchasing and receiving procedures
  • Generate purchase orders on approval requisitions and obtain authorization from the
  • Prepare and maintain department annual budgets and complete financial reporting on a timely basis as required
  • Coordinate and, as required, participate in the inventory process to ensure that there are sufficient expendable operating supplies within the Hotel
  • Assist with researching invoices discrepancies as required
  • Establish and ensure par stocks on all inventoried items are maintained
  • Develop and maintain close and effective working relationships with all supporting departments
  • Ensure that all storage areas are secure, clean and properly organized
  • Schedule and manage staff to support production and labour cost goals

 

  • Follow and ensure compliance with all corporate, hotel and departmental policies and procedures
  • Follow all safety policies
  • Participate in hotel committees
  • Perform other job related duties and projects as assigned
  • Controller and General Manager prior to processing these orders
  • Participate in hotel committees
  • Strict adherence to all Health & Safety training, guidelines and work practices previous, during and following an epidemic (whether local or global) that are established by Accor, local government, international bodies including the World Health Organization (WHO) and Center for disease control (CDC)
  • Perform any other duties, tasks, and assignments within your department as required

Qualifications

Qualifications:

  • An undergraduate business or hospitality degree or professional certification in purchasing management is strongly preferred
  • A minimum of two years supervisory / leadership experience in the purchasing field is required
  • Experience with Birchstreet is an asset and a strong degree of computer literacy in MS Office Suite is required
  • Strong leadership, organizational and communication skills, problem solving abilities and strong attention to detail are required
  • Proven ability to work efficiently in a demanding fast paced environment
  • Proven ability to work cohesively as part of a team in a multi-cultural, diverse environment
  • Proven ability to focus attention on customer needs, remaining calm and courteous at all times

Strong work ethic, highly responsible, reliable and the ability to work extended hours, including weekends and/or public holidays is required

Physical Aspects of Position (include but are not limited to):

  • Sitting 6-8 hours a day.
  • Occasional lifting and carrying up to 20 lbs.
  • Occasional kneeling, pushing, pulling and lifting
  • Occasional ascending or descending ladders, stairs and ramps
  • Light Activity.
