Job Description

  • Be responsible for maintaining a complete and up-to-date reservations filing system.
  • Promotes room sales through phone contacts. 
  • Maintains good relation with business services especially local travel agents.
  • Answers, confirms and processes all requests for reservations according to the established procedures.
  • Attends enquiries and obtain the correct and necessary information regarding the exact details of the reservations made, noting down any special requests.
  • Prepares and file all processed reservation forms accordingly.
  • Assists the Front Office in advance blocking of rooms on special requests.
  • Makes sure the cleanliness and maintenance of own work area/ equipment.
  • Checks and verifies reservations for the day’s arrival before printing out the expected arrival list.
  • Assist the Assistant Reservations Manager/ Reservations Manager in the maintaining proper filing and recording of all correspondence pertaining to contracts established by the Sales & Marketing Department with commercial companies, travel agents and others.
  • Has knowledge of handling the Front Office Opera System’s operation and to maintain the computer discipline at all times.
  • Assists the Assistant Reservations Manager/ Reservations Manager or the Front Office Manager in maintaining low operating costs and achieving maximum sales and profitability in Reservations Department.
  • Maintains close liaison with other operating departments.
  • Performs any other job-related duties assigned to him or her by the Assistant Reservations Manager/Reservations Manager, Director of Revenues.
  • Sells rooms and facilities in a manner designed to maximise revenues and occupancy while guaranteeing reservation when necessary.
  • Responsible for the assignment of all room types, applicable rate and for the fulfilment of all guests’ request.
  • Ensure that all daily transactions are keyed and updated into the computer.
  • Endeavour to make as many enquiries into reservations by competent selling.
  • Completes all Reservations Forms for all reservations.
  • Record reservations, amendments and cancellations accurately on the Reservation Charts.
  • Ensures that confidential information such as occupancy, room revenue, room rate, etc. are not divulged to any parties without management approval.
  • Attends to all replies for letters and faxes with regards to room reservations within 24 hours.
  • Keeps all correspondence for future and past reservations and filled them correctly.
  • Accurately maintains the Front Office Guest History System.
  • Prepares for the Front Desk the details and correspondence for the next day arrivals and to attend to all Reservation enquiries at the Front Desk.
  • Maintains no-show and cancellation charge.
  • Ensures friendly and courteous behaviour at all times.
  • Has a complete understanding of and adhere to the Hotel’s policies and procedures.
  • Handles telephone calls in a good manner, using proper telephone etiquette.
  • Reports to the Assistant Reservations Manager/ Reservations Manager and the Management on relevant guest’s complaints.
  • Checks regularly all documents and correspondence related to bookings in the near future in order to detect double bookings, non-guaranteed bookings, wrong filing.
  • Ensures all Reservations’ documents are filed in a systematic manner.
  • Aware of the current Hotel’s events, facilities and services available to the Hotel’s guests and attend to the guest request for information.

Qualifications

  • Diploma or degree in Hospitality Management or related field preferred
  • Minimum 1–2 years’ experience in hotel reservations or front office operations
  • Experience in luxury or international hotel brands is an advantage
