Job Description

How does your working day look like …

  • Leading the planning and execution of events and to ensure all event details are meticulously managed.
  • Serving as the primary point and overall client contact from the signature of the contract until post event delivery, ensuring their needs are fully understood and translated into tailored event solutions by the team.
  • Ensuring effective communication and collaboration between internal departments such as F&B, Operations, and Sales to guarantee smooth and successful event delivery, including off-site events requiring logistics and culinary coordination.
  • Managing the planning cycle for outside catering events, including menu planning, equipment requirements, transportation logistics, staffing needs, and on-site setup and service.
  • Overseeing event logistics including setup, scheduling, and resource allocation, with support from the Events Planning Executive, to ensure seamless operations on and off property.
  • Overseeing the preparation and accuracy of event BEOs, outside catering checklists and related documentation, ensuring adherence to hotel standards and policies.
  • Ensuring adherence to the deposit and payment guidelines in line with hotel procedures.
  • Providing hands-on approach during event execution, supporting the team and ensuring delivery meets client expectations and brand standards.
  • Leading the post-event debrief, gathering client feedback, overseeing final billing, and nurturing long-term client relationships to drive repeat business.
  • This role ensures the successful planning and delivery of events, enhancing client satisfaction and revenue generation.

Qualifications

  • Hospitality or Event Management Experience – 2+ years in event planning, preferably in a hotel or similar setting.
  • Sales & Coordination Skills – Strong understanding of event logistics, BEOs, and client servicing.
  • F&B Knowledge – Understanding of catering requirements and event F&B coordination, including off site catering
  • Excellent Communication – Strong verbal and written skills to liaise with clients and internal teams.
  • Detail-Oriented & Organized – Ability to manage multiple events simultaneously with high attention to detail.
  • Problem-Solving Skills – Quick thinker who can handle last-minute changes and ensure smooth execution.
  • Strong Negotiation & Budgeting Skills – Ability to manage event costs effectively while meeting client expectations.
  • Tech-Savvy – Familiarity with Opera and Microsoft Office Suite.
  • Proactive & Solution-Oriented – Takes initiative to enhance guest experiences and resolve challenges.
  • Customer-Focused – Passionate about delivering exceptional service and building long-term client relationships.
  • Team Player – Works collaboratively with different departments to ensure flawless events.
  • A dynamic, detail-driven professional with a passion for hospitality and events would excel in this role.
