Job Description

As Events Manager, you will be responsible for the successful planning, coordination, and execution of all events hosted at the hotel. Working closely with the Sales team and operational departments, you will ensure every event is delivered seamlessly, creating exceptional experiences for our guests while upholding Sofitel's standards of luxury hospitality.

Key Responsibilities

Event Planning & Coordination

  • Take ownership of events from handover stage through to execution and post-event follow-up.
  • Review event requirements and ensure all client expectations are clearly understood and communicated.
  • Prepare and maintain Banquet Event Orders (BEOs), function sheets, event resumes, and operational timelines.
  • Coordinate venue setup requirements, room layouts, audiovisual arrangements, decorations, entertainment, transportation, and other event logistics.
  • Conduct event planning meetings and internal briefings with relevant departments.
  • Ensure all operational arrangements are confirmed prior to event commencement.

Event Operations & Execution

  • Serve as the main operational contact for clients during event setup and execution.
  • Oversee event operations to ensure service standards, timelines, and guest expectations are consistently met.
  • Coordinate with Food & Beverage, Culinary, Housekeeping, Engineering, Security, and Front Office teams to ensure smooth event delivery.
  • Monitor event progress and proactively resolve issues that may impact guest satisfaction.
  • Ensure all event spaces are presented according to brand standards and client requirements.
  • Conduct post-event evaluations and identify opportunities for improvement.

Guest Experience

  • Build positive relationships with event organizers and guests.
  • Anticipate guest needs and provide personalized solutions to enhance the event experience.
  • Handle feedback and concerns professionally, ensuring timely resolution.
  • Ensure all events reflect the luxury service standards and attention to detail expected of Sofitel.

Team Leadership

  • Lead and support the Events team in delivering exceptional service.
  • Coordinate and communicate effectively with operational departments to ensure successful event execution.
  • Provide coaching, training, and development opportunities for team members.
  • Promote a culture of teamwork, accountability, and continuous improvement.

Administration & Compliance

  • Maintain accurate event documentation and records.
  • Ensure all events comply with hotel policies, health and safety regulations, and risk management procedures.
  • Prepare operational reports and event summaries as required.
  • Monitor event-related inventories and coordinate with suppliers where necessary.

Qualifications

  • Diploma or Degree in Hospitality Management, Event Management, or a related field.
  • Minimum 3 years of experience in Event Management, Conference & Banqueting, Food & Beverage or Hotel Operations.
  • Strong understanding of banquet operations and event logistics.
  • Excellent organizational and multitasking abilities.
  • Strong communication and stakeholder management skills.
  • Ability to remain calm and solution-focused in a fast-paced environment.
  • Passion for creating memorable guest experiences and delivering operational excellence.
